Job description

Mode Plastic Surgery is a boutique plastic surgery practice based on Sydney’s north shore, inner west and eastern suburbs established by Dr Shagun Aggarwal, offering a full complement of cosmetic and reconstructive plastic surgery procedures. Mode Plastic Surgery looking for a Medical Receptionist to join Dr Aggarwal’s team. The role will primarily be based at the main practice in Gordon, on Sydney’s upper north shore, but will include some consulting sessions at Hunters HillCamperdown and Potts Point

The role is for approximately 2-3 days a week, Monday to Friday.

Due to strong demand and practice growth, Mode Plastic Surgery is seeking a friendly and mature Medical Receptionist/Secretary to join our team.

This is a key role utilising your amazing customer service skills to provide a professional and welcoming reception for our highly experienced plastic surgeons & clinical team.

Our practice has grown based on word of mouth referrals and for our exceptional 5 star patient experience, which our future employees would be expected to continue and develop further.

  • You need to have:

    - 3+ years of front desk reception experience, ideally in a  medical environment (previous specialist medical experience  will be considered strongly)
    - An understanding of Medical Practice Booking Diary  software like Shexie is preferred
    - A strong interest in Cosmetic and Reconstructive Plastic  Surgery, and non surgical facial treatments. 
    - A friendly, warm and caring personality 
    - Diligent approach with an attention to detail and ability to  multi-task
    - A stable work history demonstrating outstanding current and  past references 
    - Demonstrated Excellent communication and typing skills
    - Immaculate personal presentation
    - Strong knowledge of MS Office
    - Permanent residency in Australia - requests for  visa/sponsorship, etc will not be considered
     

  • You’ll be responsible for:

    - Meeting and Greeting patients at reception
    - Managing incoming telephone calls
    - Handling initial patient enquiries and questions – by phone &  email
    - Scheduling and organising patient appointments using  Shexie medical software
    - Precollection of surgical, anaesthetic payments ahead of  surgery
    - Processing patient information, payments and Medicare  rebates
    - Providing Information about our services and Medicare
    - Processing emails, mail, faxes and other correspondence
    - General office tasks including using Microsoft Word and  Excel
    - Managing patient paperwork, referrals and billing
    - General housekeeping
    - General administrative support and clinic housekeeping
    - Participation in training, development of policies and  procedures, and regular performance reviews
     

  • About You:

    - You are a proactive problem solver that takes initiative to solve problems but who can also follow instructions, accept feedback, and work within a team environment
    - You have an attention to detail and can remain calm while attending to multiple tasks (clients, emails, phone calls, etc).
    - You have the ability to multi-task, and perform time critical tasks in an efficient manner without the need for close supervision
    - You are a fast learner, able to assimilate lots of new information relating to procedures, processes and payments
    - You are proficient with Microsoft software (Outlook, Word &  Excel) and competent in using medical patient management  software like Shexie or Genie.
    - You have previous experience working in the medical  industry is desirable but not essential. (If no previous medical  experience, then administrative experience with a relevant  high end customer service will be essential)
