Shamrock Civil Engineering is a reputable mid-tier civil construction contractor with well-established connections in the civil construction and mining industries. We are currently seeking an Office Administrator with experience in construction administration to support various civil construction projects in Melbourne. You will be reporting to the Operations Manager and can look forward to duties that include but are not limited to:
- Answer phone calls, direct calls & take messages in a timely manner.
- Manage inventory, store and replace office supplies.
- Binding, Laminating and other office/admin duties as required.
- Search, apply & manage rental properties.
- Organise Melbourne employee inductions.
- Coordinate function bookings, meetings and conferences.
- Provide PA and administrative support to Operations Manager.
- Take minutes of meetings and distribute as required.
- Processing and payment of creditors on a weekly/monthly basis and ensure all creditor payments made by EFT, cheque or BPay by the set timetable.
- Coordinate invoices to be distributed to management and Project Managers for approval.
- Liaise with suppliers regarding dockets, credit notes to resolve creditor payment discrepancies.
- Arrange all travel and other requirements for Melbourne projects and staff as required.
- Provide appropriate administrative support to other staff as required.
You will have a minimum of 3 years experience ideally with exposure to the construction industry, and possession of (C) class drivers licence. You will also be able to demonstrate the following:
- Intermediate to advanced skills in Microsoft Office and general computer operations.
- Able to operate phone system, fax machine, photocopier & computer systems.
- Excellent oral and written communication skills.
- High level of time management, organisational and multitasking skills.
- Self directed and able to complete projects with limited supervision.
