We are looking for candidates with:
- Excellent written and verbal communication skills for staff, customer, contractor, and supplier interactions.
- Exceptional organizational and time management skills to manage multiple priorities effectively.
- Sound IT skills with knowledge of Microsoft packages and the ability to learn and operate job management and workflow systems.
- Familiarity with SimPRO would be highly advantageous.
- Ability to work autonomously without direct supervision.
- Previous administration experience, preferably in the security industry or a trade-based admin role.
As our Office Administrator & Service Coordinator, your responsibilities will include:
- General customer service
- Scheduling of service/maintenance jobs, involving liaising with customers and team members to ensure a smooth process from the initial request acknowledgment, to job completion and invoicing
- Liaising with bookkeepers to ensure all timesheets, PO's and invoices are up to date and can be reconciled
- Maintain our OH&S and compliance requirements, including staff licenses, site inductions etc
- Handling of company vehicles maintenance, services etc
- Data entry and database management.
- Monitoring of stock and performing stock takes on factory inventory
- Receipting goods, accepting deliveries and processing outbound deliveries
- Responding to emails and overseeing three mailboxes.
- Handling service/quote requests.
- Provide EA/PA support to the team as required
- General reception and administration duties.
- Assisting with staff/customer functions
