The Role and Responsibilities
*Due to the nature of the role, the successful candidate will be required to be in the office 80 percent of the time.
As the Adelaide Office Assistant / Executive Assistant to the South Australian Geography Lead, you will oversee the provision of administrative and support services for the Adelaide Scyne Advisory team, facilitating the delivery of business operations to agreed standards. Elements of the role may include support for our operations, marketing, facilities administration, procurement, IT administration and Executive Assistant support.
Under the direction of the Government Lead Partner and supporting the Adelaide Leadership Team your key responsibilities include:
In this role, you will create value by:
- Managing existing resources and use of office space to support the business, including the development, implementation and review of office systems, procedures and methods.
- Drive initiatives to enhance local administration function and Executive Assistants.
- Overseeing and controlling expenditure for the team functions.
- Monitoring and addressing complex and / or sensitive enquiries and issues, including escalations to ensure their timely and effective resolution.
- Liaising with other Office Managers / Assistants across our locations on administrative issues nationally. You will work closely with this team and divide up national projects amongst the team. This will see you taking the lead on some initiatives nationally.
- Liaising with stakeholders, business and suppliers for internal and external events.
- Maintaining procurement of all office supplies and office services where necessary.
- Overseeing maintenance of office equipment and calling in service technicians when required.
- Maintaining WH&S compliance and facilities management, including maintenance of the Business Continuity Plan with the support of our National Facilities Leader.
- Executive assistant support South Australian Geography Lead – here you will provide a high-quality executive and administrative support.
About You
You demonstrate the attributes of being a team player who is a self-starter, detail orientated, and an effective communicator with the confidence to build relationships, negotiate and persuade stakeholders at all levels of the business. You are comfortably able to prioritise your workload and priorities and possess sound commercial acumen.
You are skilled in performing in high pressure environments and delivering on tight deadlines. You have experience in office management principles, project and time management, strategic thinking and know how to execute.
You’re collaborative and enjoy working in an innovative environment. You’re a problem solver by nature and most importantly, you act with integrity and show care for the people you work with.
