Office Coordinator

  • Full-time on-site position with starting package $70K – $80K + super (commensurate with experience)

Being the first point of contact for our clients and guests, it’s important you take care of the front office, and ensure everyone feels welcome and part of our community. Understanding that no job is too big or too small, you take pride in your tasks, knowing your role is vital to our customers experience and the Team. Combining Executive support to the Managing Director, first class customer service, operational support to the Team, and office management and cleanliness; you will be the backbone of the business.

 

THE ROLE:

  • Manage incoming communication including phone calls, messages, and emails 
  • Provide 5-star customer service to our customers and a welcoming smile and hospitality to our visitors
  • On the ground support to our Sales, Finance and Operations Team including data entry and use of our sales, purchasing, scheduling and administration software
  • Confirmation of orders and bookings with customers by phone, email or SMS
  • Work with the Team to co-ordinate inventory levels and stocktakes 
  • Perform general office tasks to ensure smooth operation of the office including ordering office supplies and stationery
  • Co-ordinate all office supplies and equipment to drive operational efficiency and reduce overall expenditure
  • Sort, distribute, and process mail
  • General Housekeeping ensuring all office areas are kept organised and tidy
  • Provide technical support for visitors, clients and our team
  • Coordinate dates, and meeting room bookings including scheduling meeting room maintenance, tech upgrades etc
  • Facilities management: office keys, parking, IT, office equipment maintenance and repairs (printers, coffee machine, water filters, carpet cleaning, painting)
  • Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships
  • Manage or support all aspects of space/infrastructure planning (moves, additions, changes to workstations) and provide answers, resources, and solutions when requested
  • Act as Fire Warden and liaise with Body Corporate on any building related matters
  • Operational maintenance and project management of software / hardware 

 

Please note, whilst this role is based around regular working hours it's expected from time to time that the successful candidate will be available to start earlier or finish later.

  • Be fully computer literate - having a knowledge of Xero or similar will be an advantage but is not essential
