Quartz Consulting is pleased to partner with Yemaya Women's Support Service to fill the role of Office Coordinator.
The Organisation
Yemaya Women's Support Service is based in Northern Tasmania. They provide free and confidential medium to long term counselling, outreach and group work services to women who are experiencing or have experienced intimate partner abuse. Yemaya provide face-to-face and/or phone services for all women inclusive or religion, identity, ability, sexuality, social background, or culture. The organisation also provides community education and development with the aim of eliminating family violence.
The Position
The Office Co-Ordinator will be crucial in supporting our organisation's daily operations.
This role is the effective management of the Service, coordinating and leading the provision of internal service, including Human Resources (HR) and Finance activities.
The focus will be to support the team and management by providing essential administrative duties whilst ensuring that the needs of the victim/survivor are at the centre of the process. The team will support the successful applicant by providing ongoing internal training and additional external professional development in trauma-informed responses to clients impacted by family violence.
Reports To: The Yemaya Management Team and the Yemaya Management Committee.
Key Responsibilities
- Office Management: Attending to client contacts, and visitors, general administrative functions, provision of support to Managers and Committees, maintaining the office, systems and processes.
- Finance and Payroll: Oversee payroll processing, accounts payable and receivable, providing financial reports and data as required, contributing to budget development, reporting and managing petty cash.
- Human Resources: Co-ordinating and undertaking general HR duties including recruitment, induction, performance appraisals, training and development programs, and work, health, and safety, including records management, ensuring legislative compliance.
- Funding Grants: Undertake research and develop, in conjunction with management, funding submissions for the provision of professional services.
Selection Criteria
- The ability to effectively and efficiently co-ordinate an office, ensuring that clients are cared for and staff are provided with the appropriate office environment and tools of trade to undertake their work.
- Sound financial knowledge and skills with the ability to oversee and undertake payroll, accounts receivable and payable activities and manage the petty cash..
- Ability to co-ordinate Human Resource functions including recruitment, induction, performance appraisals, training, with excellent records management skills.
- Ability to write well researched, comprehensive documents that form the basis for submissions to Boards and or external parties.
- High level of interpersonal skills with the ability to respond with empathy, build relationships and communicate effectively with clients and other staff.
- Sound organisational skills, analytical and problem-solving skills.
