Job Description: Office Manager
Position Overview:
We are currently seeking a highly organized and detail-oriented Office Manager to join our team. As an Office Manager, you will play a crucial role in ensuring the smooth day-to-day operations of our office. Your responsibilities will include managing administrative tasks, coordinating office activities, and supporting various departments to maintain a productive and harmonious work environment.
Key Responsibilities:
1. Administrative Support: Provide administrative support to the management team and staff, including handling correspondence, managing calendars, scheduling meetings, and maintaining office supplies.
2. Office Coordination: Oversee the general operations of the office, managing facilities, coordinating maintenance and repairs, and ensuring a clean and organized workspace.
3. Communication: Serve as a point of contact for internal and external stakeholders, answering inquiries, directing calls, and relaying messages in a professional and timely manner.
4. Documentation and Records: Maintain and update office records, files, and databases, ensuring accuracy and confidentiality of information.
5. Staff Management: Assist in onboarding new employees, maintaining personnel records, managing attendance, and supporting payroll and benefits administration processes.
6. Event and Travel Coordination: Organize and coordinate office events, meetings, conferences, workshops, and travel arrangements as needed.
7. Financial Management: Assist with budget management, expense tracking, and invoice processing, collaborating with the finance department to ensure accurate financial records, a extensive knowledge in MYOB systems is desirable.
8. Policies and Procedures: Maintain up to date and implement office policies and procedures, ensuring compliance with company guidelines and legal regulations.
9. Technology and Equipment: Maintain office equipment, troubleshoot technical issues, and liaise with IT support for any necessary repairs or upgrades.
10. Health and Safety: Promote a safe and healthy work environment, monitoring compliance with health and safety regulations, and coordinating necessary training and inspections.
Requirements:
- Bachelor's degree in business administration preferred, Office Management, or a related field preferred. Formalized qualifications preferred. 
- Proven experience as an Office Manager or in a similar administrative role.
- Strong organizational skills with a keen attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in office software applications (e.g., MS Office), equipment, and phone systems.
- Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
- Problem-solving abilities and a proactive approach to resolving issues.
- Strong interpersonal skills and the ability to work effectively with diverse teams.
- Familiarity with office procedures and best practices.
- Knowledge of relevant legal regulations and compliance standards.
