Role Overview
In this pivotal role you will have responsibility for providing comprehensive and confidential executive administrative support to the CEO and Accounts Team. You will coordinate all meeting schedules, correspondence and internal communications for the CEO and support them with their dairy management and more.
You will work on a variety of complex documents, organise meetings, participate in executive meetings and planning workshops, organise events, travel and produce Board papers and other key documents required for the governance of the company. You will also assist in basic data entry of the Accounts Payable Team and will have excellent phone manner and problem-solving skills. This role is also responsible for the day to day running of the office including ensuing there are office and kitchen supplies as needed, that the office is safe, neat and tidy
Responsibilities
- Managing the emails/ calendars of the 2 Co-CEO's and the Chair.
- Help the CEO prioritise tasks and manage their time effectively, providing reminders and deadlines as needed.
- Manage sensitive information with confidentiality and discretion, maintain organised email filing systems, and ensure quick retrieval of necessary documents.
- Act as a primary point of contact between the CEO's and internal/external stakeholders, screening, and prioritizing communications
- Manage incoming calls, redirecting them to the appropriate personnel or department.
- General customer enquiries.
- Maintain a clean and organised reception area (watering the plants, cleaning up mess left behind, etc.
- Screen phone calls, emails, and visitors, managing access to the CEO and handling routine inquiries.
- Booking Teams meetings for the Executive team.
- Oversee the office operations, ensuring a well-organised and efficient work environment (ensure everyone has stationery, amenities, coordinating with maintenance for any repairs, etc.)
- Greet and welcome visitors in a courteous and professional manner.
- Notify staff members of visitor arrivals.
- Assist with various administrative tasks, such as sorting and distributing mail, coordinating courier services, and managing office supplies.
- Arrange domestic and international travel, including flights, accommodation, and transportation, while considering time zones and business priorities.
- Maintain positive relationships with vendors and address inquiries regarding payments.
- Receiving invoices from suppliers where the AP team haven't actioned in D365.
- Taking phone calls from suppliers wanting to manage their payment schedules.
- Receiving emails from suppliers with invoices attached to put through D365.
- Paying bills with the credit card.
- Collaborate with internal departments to resolve invoices and payment-related queries.
- Communicate effectively with vendors and internal stakeholders.
Candidate Profile
You are highly energetic and entrepreneurial in your thinking, wishing to be in a critical role driving daily operation smoothness for a business. You will have previous Office Management/ Company Secretary or EA experience of a minimum of 2 years and looking to progress further within their own career. You are organised with high attention to detail also presenting with exceptional communication skills that you leverage in shaping positive working relationships, you are flexible in working through ambiguity in a fast-paced environment. A passion for continuous improvement and taking things to the next level is at the core of who you are. Your personal leadership, resilience and quick thinking, alongside stakeholder engagement skills will ensure your success in this role.
