Job description

Office Administrator

  • Full-time role Monday - Friday

Are you looking for a new opportunity? We are looking for an experienced office manager who has had exposure working within a mechanical role. This role is an integral part of the organization as you will be customer facing, handling day to day enquiries and liaising with the directors and other internal departments.

What you will be doing
  • Answer incoming calls in a cheerful & professional manner. Direct the calls to the correct person, taking messages and forwarding those messages.
  • Support external sales staff by entering sales orders, quotes and providing updated information on stock and delivery status
  • Coordinate and organize all trade shows for Sales Staff, including booking, organizing show stock and campaign management in Salesforce
  • Assisting with organization training days, BBQ’s, tradeshows and social activities
  • Interpret spare parts calls
  • Maintain an efficient filing system where sales literature and sales information is easily accessible
  • Daily payment summary: collate payment data on spreadsheet and send to accounts at the end of each day
  • Reconcile the eftpos machine each day and balance
  • Match supplier invoices to purchase requisitions and delivery dockets
  • Maintain both Salesforce CRM and Lawson systems
  • Monthly Demo stock reconciliation: ensuring all reconciles are sent out first week of each month to all relevant staff, returned within a timely manner and updated within the system
  • Any ad hoc administration duties
  • Provide a backup resource to other administrators in Queensland and Victoria in times of absenteeism.
What skills and experience you need
  • Must possess good written and verbal communication skills
  • Demonstrate excellent customer service and complaint handling skills
  • Demonstrate proficiency in MS Office packages - Microsoft Word, Excel, Corel
  • Detail oriented and well organized
  • Ability to work autonomously
  • Must have the ability to manage time and multiple tasks efficiently and achieve the required results
  • Mechanical aptitude
  • Valid driver’s license
  • All candidates should meet the Right to Work in Australia criteria
