Overview:
As the Operations Coordinator, you will play a pivotal role in ensuring the seamless operation and maintenance of our holiday rental properties. This position involves serving as the primary point of contact for property owners, coordinating maintenance activities, managing associated costs, and overseeing invoicing processes.
Key Responsibilities:
Owner Liaison:
- Act as the primary liaison between the company and holiday rental property owners.
- Communicate regularly with property owners regarding maintenance needs, rental rates, and general inquiries.
- Provide timely updates and reports to owners on property performance and relevant matters.
Maintenance Coordination:
- Coordinate maintenance activities for all rental properties, ensuring timely resolution of issues.
- Schedule and supervise maintenance team members to ensure efficient execution of tasks.
- Prioritize maintenance requests based on urgency and impact on guest experience.
Cost Management:
- Monitor and manage maintenance costs to ensure expenses align with budgetary constraints.
- Identify opportunities for cost savings without compromising the quality of service or property standards.
- Work closely with the finance department to track expenditures and maintain accurate records.
Invoicing Management:
- Oversee the processing of invoices from trades and vendors for maintenance services rendered.
- Verify the accuracy of invoices and reconcile them with contractual agreements and service levels.
- Ensure timely payment of invoices while adhering to company policies and procedures.
Qualifications:
- Previous experience in property management, hospitality, or a related field.
- Strong communication skills, with the ability to effectively interact with property owners, maintenance teams, and vendors.
- Excellent organizational abilities and attention to detail, particularly in managing schedules and financial records.
- Proficiency in basic accounting principles and experience with invoicing and cost management systems.
- Ability to prioritize tasks and work efficiently in a fast-paced environment.
- Familiarity with property maintenance processes and terminology is desirable but not essential.
