The Opportunity:
Based in our Norwest Depot, an opportunity has arisen to join our Operations team to coordinate the maintenance workforce. This position will play a pivotal role in providing workforce coordination and administrative support for Field Operational staff. The role will coordinate tasks to for proactive and reactive maintenance works. This role will provide the right candidate with opportunities for growth and development, among like-minded, proactive, and enthusiastic team.
Workforce Systems (vWork)
- Update and control data quality
- Receive and process tickets incoming from 1800 hotline and email alerts
- Ensure all jobs are allocated and executive in a timely manner by field operational staff
- Work closely with team leaders to schedule and plan resources for upcoming installs or project
- Review and update monthly, quarterly and annual scheduled proactive maintenance
- Assist in posting task from time to time
- Update Field Operations Licenses and Tags
- Add and update vWork assets
Information Management
- Ensure document & record control is maintained at all times
- Ensure all documents are reviewed at regular intervals
- Ensure all controlled documents are approved
Reporting
- Provide reporting for senior managers regarding cleaning, posting and maintenance activities and other information, as required from time to time.
Invoicing
- Receive and process invoices in accordance with advised timelines.
Systems you will need to know:
- Microsoft 365 – Word, SharePoint, PowerPoint, Teams
- Require Intermediate skill – Excel & Outlook

The Experience:
This opportunity would suit someone with a background in Administration, Work force planning or operational.
- Be a stickler for detail, highly organised and disciplined in managing multiple projects & priorities within tight deadlines.
- A strong communicator and an expert collaborator who can bring together cross-functional teams to achieve outcomes.
- You're a proven team player and yet comfortable enough to work autonomously where required.
- You demonstrate a proactive approach and problem-solving mindset to your work and always deliver to a high standard.
- You seek out support where needed and aren't afraid to ask questions and communicate needs.
- You're technically astute with strong analytical skills and possess excellent MS Office capabilities across Outlook, Excel and Teams (or similar).
