Job description

Our elevator pitch for this role

Join Rushfaster as our Operations Manager and be the driving force behind our silky-smooth and ultra-effective operations. Your mission: to enhance company performance, build on our team and customer satisfaction, and pave the way for more growth. We are currently going through a high-growth phase, and we are hiring an Operations Manager to support us on this journey. You will establish a super-strong foundation of processes, build great teams, and allocate appropriate resources, ensuring Rushfaster thrives effortlessly.

The role is primarily remote (work from home); however, you will need to be based in Sydney and some physical presence in Sydney will be required from time to time.

This is an incredible opportunity for someone with the experience, ability to work autonomously, and a service-oriented mindset to join us during our exciting growth phase. If you are passionate about operational excellence and ready to make a significant impact, we want you on our team!

What we need your help with

Here's a list of responsibilities and tasks that you will handle, although it is not limited to these:

  • Smooth Day-to-Day Operations: Ensure the company operates in a calm and organised manner with minimal urgent tasks, allowing the team to focus on primarily important but non-urgent tasks. Put out fires and implement solutions to prevent them. Identify areas for improvement, prioritise, and implement constant enhancements. Manage resources effectively.
  • Quality Control: Implement a system for quality control across key areas within the first three months to minimise rework and poor-quality output.
  • Human Resources & Team Management: Hire, train, manage, and lead the operations team. Ensure exceptional team experience, compliance with policies, and track team activities.
  • Customer Experience: Maintain a customer-centric focus, improving customer experience and fixing systems based on feedback.
  • Inventory & Warehouse Management: Maintain correct stock levels, minimise stock loss, negotiate rates, manage freight costs, and oversee 3PL warehouses.
  • Process Management & Documentation: Develop and improve processes, maintain documentation in Notion, and organise files in Google Drive.
  • Financial, Compliance & Risk Management: Manage insurance, handle chargebacks and fraud issues, oversee tax obligations, keep services topped up, and ensure compliance with laws and regulations. Identify and mitigate operational risks, manage health and safety, and handle legal matters.
  • Strategic Planning & Reporting: Engage in strategic planning, risk management, and effective communication to coordinate the team workload.

About you…

  • Experience: Previous experience in an operational capacity with a minimum of 3+ years.
  • Technical Proficiency: Experienced with Shopify, Stocky, Slack, Notion, Gsuite, 3PL portals, Excel, ChatGPT, and Loom. (Some can be learnt on the job)
  • Hiring & Team Development: Skilled in sourcing and hiring top talent, managing, mentoring, and developing a high-performing team.
  • Leadership & Management: Capable of inspiring and motivating a team to achieve goals while maintaining a positive work environment.
  • Process & Quality Management: Proficient in designing and optimising processes for efficiency and productivity, and implementing quality control measures.
  • Customer Focus: Committed to prioritising customer needs and satisfaction in operational decisions.
  • Continuous Improvement: Proactively fosters a culture of continuous improvement.
  • Problem-Solving & Decision Making: Strong analytical skills for resolving operational challenges and making informed decisions.
  • Resource & Financial Management: Effective in managing resources and understanding budgeting and cost management.
  • Communication & Collaboration: Excellent verbal and written communication skills, with the ability to work collaboratively with cross-functional teams.
  • Adaptability & Innovation: Able to adapt to changing needs and explore new ideas for operational improvement.
  • Project & Risk Management: Proficient in planning and executing projects, identifying risks, and implementing mitigation strategies.
  • Data Analysis & Compliance: Skilled in analysing data for informed decisions and ensuring compliance with regulations.
  • Interpersonal & Organisational Skills: Strong interpersonal skills for building relationships and excellent organisational skills for task management and documentation.
