In this role, you will be responsible for providing exceptional reception services, call management, visitor management, mail management, workplace experience support, and hospitality services. Your contributions will ensure a seamless and professional experience for employees, visitors, and clients.An Overview of the role:
- Provide coverage for reception area, ensuring a welcoming and professional environment.
- Utilize NetApp intranet and phone systems to manage calls, look up employee contact information, and direct inquiries to the appropriate staff member.
- Greet visitors, notify personnel of their arrival, and monitor employee and visitor flow in and out of buildings.
- Maintain security requirements by ensuring visitors sign the visitor log and distributing guest badges using the Lobby works system.
- Maintain a professional appearance of the building lobby or reception area.
- Support visitors with transportation requests, such as arranging taxi services.
- Receive and route all deliveries, interact with vendors, couriers, and delivery personnel.
- Responsible for mail sorting, distribution, and assisting with self-service shipping and courier services..
- Support Workplace Experience (WX) activities, including office coordination, housekeeping, courier services, office repairs and maintenance, moves, pantry services, and stock management.
- Assist with Facilities activities, such as managing work orders and conducting cleaning audits.
- Provide support with training and meeting rooms, including equipment setup and furniture arrangement, as time permits.
- Offer hospitality services, including providing refreshments for client meetings, stocking pantries, and spot cleaning kitchenettes.
- Proven experience in a receptionist or customer service role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficient in using phone systems, intranet platforms, and basic office software.
- Attention to detail and commitment to delivering exceptional customer service.
- Knowledge of mail management systems and basic accounting processes is preferred.
- A proactive mindset and willingness to go the extra mile.
