We have an exciting opportunity for a Payroll & Accounts Payable Officer to join our passionate finance team!

Vision Eye Institute is Australia’s largest private provider of ophthalmic services. Every year, we see more patients and perform more eye surgeries through our clinics and day surgeries in VIC, NSW, QLD and SA than any other ophthalmic group in the country.

 A bit about the opportunity

As the Payroll & Accounts Payable Officer, you will assist and provide back up for the Payroll and Accounts Payable (AP) departments in the processing of their transactions. These departments are an integral link between the financial and operational aspects of the business and support the Corporate Finance Team. 

Conveniently located on St Kilda Rd with a scenic view of beautiful Albert Park, the Corporate Office team provide a range of business support functions to over 500 employees and 60 Partner Doctors and Associates. 

This position would suit someone who possesses excellent communication skills with the ability to communicate with courtesy and patience at all levels and through various channels.

The Payroll/AP Officer must demonstrate a high level of integrity, honesty and confidentiality while carrying out all payroll and Accounts Payable functions. Success will be built upon an in-depth knowledge of, and commitment to understanding AP & Payroll processes, strong internal relationships and the ability to work adaptively within the corporate finance team.

Some of the duties would include: 

  • Payroll data management & transaction processing – for example, fortnightly & monthly payroll processing (currently using ConnX and Access Micropay but these systems may evolve), set up, update and maintain Payroll & personnel records, prepare termination calculations etc.
  • Payroll reporting (external compliance) - Single Touch Payroll (STP), PAYG Tax Withheld & Monthly State Payroll Tax Returns
  • Other Payroll Officer functions – for example, provide leave cover for the Payroll Administrator as required, prepare fortnightly timesheet labour reports, prepare numerous reports from payroll systems as required, including leave reports, addition/deduction listings etc. and assist employees with timesheet and payroll queries.
  • Accounts Payable functions – for example, review and allocate invoices through ExFlow (data capture software) and Proactis, proactively follow up clinics on invoice status and queries, process sundry supplier invoices in SunSystems (accounting system) accurately and on a timely basis, prepare and upload Accounts Payable payments including, EFT, BPAYS, patient refunds, petty cash and employee expense claims, and reconcile supplier statements on a monthly basis etc.

The role will also provide ad hoc support to the broader Corporate Finance Team and the People & Culture function as required, as well as assisting with general office administration such as stationery ordering, answering phones, being the “go-to” for general office enquires.

The successful candidate will be a team player with a strong focus on ensuring exceptional service is delivered to our frontline teams and key stakeholders. Reporting to the Corporate Services Manager, you will be expertly supported and surrounded by a passionate AP & Payroll team within the broader finance department. 

A bit about you

Ideally you will have 2-3+ years Accounts Payable & Payroll experience in a full function environment. 

Prior experience with a Procure to Pay system would be desirable and healthcare industry experience would be a bonus (and/or CONNX & Access Micropay (Meridian)).  

Excellent communication skills and will have previously demonstrated the ability to build relationships with key stakeholders both internal and external. You handle data with accuracy, efficiency and meticulous attention to detail and you’ll be savvy across the Microsoft Office suite.
