We are currently seeking a Personal Assistant (PA) to assist the Chief Executive Officer (CEO) based at our head office in Rosebery, NSW. Workforce International Group is a diversified industrial services company that provides recruitment, labour hire, traffic management, marine and line marking services.
Your responsibilities will be diverse and ever-changing, but will generally include:
- Meticulous diary management, ensuring the CEO's time is optimised for strategic priorities
- Arrange complex travel itineraries, including flights, accommodations, and ground transportation
- Assist with marketing activities including Social media (LinkedIn)
- Coordinate meetings with meticulous attention to detail
- Prepare agendas, take meeting minutes, and follow up on action items
- Engage with high-level clients and nurturing relationships
- Building strong relationships with a national team
- Perform a wide range of administrative duties, including email management, call handling, and record maintenance, with an emphasis on efficiency and confidentiality
- Prepare and review documents, reports, and presentations
- Process and reconcile expense reports in a timely and accurate manner
- Monitor budgetary allowances and communicate any discrepancies
- Organising events and conferences.
About you:
- Minimum 3 years' experience in a similar role
- Qualifications in administration, business or a related field
- Previous experience supporting executives with competing deadlines
- Flexible in adapting to the dynamic needs of different divisions, with a resilient mindset to navigate the complexities of a multifaceted company
- Intermediate - Advanced skills in Word, Excel, Outlook & PowerPoint;
- Sound knowledge of LinkedIn & other social media
- A track record of punctuality, reliability, and discretion, with a commitment to upholding confidentiality across all levels of the organisation
- Strong communication skills both written and verbal, capable of liaising effectively with a diverse range of internal and external stakeholders
