THE CLIENT
Our client is the oldest and largest private group of Anaesthetists on the Sunshine Coast. They currently have over 52 members (and growing), providing anaesthetic services from Gympie to Caboolture. Working in a team environment of 16 currently, the position requires a wide range of duties, as necessary to provide the appropriate level of executive and coordination support to the team and clients.
ABOUT THE POSITION
As a growing Practice, we are looking for a dynamic professional and experienced Personal Assistant that is a naturally proactive person with a positive attitude, who is focused on teamwork, has strong attention to detail as well as the ability to prioritise and coordinate many facets of a busy work environment.
You will have demonstrated high level computer competencies in office applications, have calendar and database management skills and capability and display a high level of initiative and problem-solving ability.
You will be supporting, coordinating, and covering all positions within the administration team by being the go-to person for queries as well as covering ad-hoc duties within the office.
YOUR PRIMARY DUTIES WILL INCLUDE:
- Managing industry-specific software
- Maintaining database for updates
- Support staff with adhoc queries in use of software
- Supporting the Practice Manager by providing high-level and proactive PA support where required
- Supporting Management of anesthestists' calenders
- Allocating surgeries/lists to appropriate anaesthetists
- Managing the on call rosters
- Bill payments and preparing surgery quotations
- Ongoing general office support for all administration positions
KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED
- Advanced computer skills, including a high level of proficiency with Microsoft Office Suite (skills testing will required for all shortlisted candidates)
- Medical administration and/or billing experience
- Ability to quickly adapt to learning new software and processes
- Strong written and verbal communication and interpersonal skills
- Fast and accurate data entry with attention to detail paramount
- Ability to meet deadlines and priortise work commitments in a fast paced environment
- Ability to work autonomously within a team
KEY ATTRIBUTES:
- Prior medical/anaesthetic experience highly regarded
- Strong leadership capability
- Supportive, gentle nature but with the ability to naturally empower others to achieve outcomes within deadlines and tight timeframes
