About the role
Reporting to the Chief Financial Officer, the purpose of this role is to provide high-level secretarial and administrative support to CFO/Company Secretary.
Key Responsibilities include, but are not limited to:
- Provide administrative support to the CFO ? including in their capacity as Company Secretary
- Maintain Company Limited by Guarantee (CLG) documentation and items within Electronic Company Register and Board Member Registers.
- Ensure Compliance Checklist obligations are completed for Company Secretary (Admin) responsibilities
- Coordinate and maintain calendar; organise and arrange meetings/appointments as required.
- Attendance, participation and coordination of both team and relevant board committee meetings; including the preparation and distribution of papers (e.g., agendas, minutes) and the follow-up of any action items.
- Liaise with internal and external stakeholders and/or regarding the above (e.g., booking of presenters)
- Coordinate board member approvals when requested by CFO, provide administrative support and electronic signature, especially during acquittal periods.
- Review contracts and funding agreements to highlight changes and proof read documents and files as requested by CFO.
- Provide administrative support to CFO and Finance Manager and Finance Coordinator for policy reviews.
- Provide board and confidential information to auditors during financial and quality audits.
- Use Microsoft Office Suite for publication of documents in approved format.
- Provide office administrative support for Sunshine Coast (Mooloolaba) office.
- Provide cover and act in the role of the Executive Assistant to the Chief Executive Officer (CEO) during periods of EACEO leave.
Knowledge and Skills required:
- The capacity to understand the operational requirements of the Executive team, and to identify the administration activities, processes and equipment that can contribute most effectively to support the organisation?s objectives.
- Demonstrated experience in the efficient use of computer applications (such as TEAMS, excel etc.), databases, and telephone systems.
- Excellent time management and attention to detail.
- High-level communication skills, both written and verbal, and the ability to liaise effectively with internal and external stakeholders, contractors, and services.
- A positive attitude towards our clients and the willingness to work within Footprints Values and Code of Conduct.
- Commitment to continuous quality improvement.
- National NDIS Worker Screening Check or current Yellow Card and Blue card-working with Children and young people check.
