Personal Assistant to Manager City Technical Services
An exciting opportunity has become available to support the City Technical Services team at Georges River Council. In this role you will provide high level assistance to the Manager City Technical Services, including but not limited to researching issues, preparing draft reports, minutes, correspondence, diary and meeting management, word processing, and liaison with a wide range of internal staff and external parties on behalf of the Manager City Technical Services.

The successful candidate will also:
- Provide executive support to the Manager City Technical Services including diary and workflow management, organising appointments and public relations.
- Prepare correspondence, speeches and presentations for the Manager City Technical Services.
- Monitor telephone calls for the Manager City Technical Services and redirect as appropriate answer where able.
- Co-ordinate, prioritise and review all correspondence for the Manager City Technical Services, direct reports and other Assets and Infrastructure business units (where required), to ensure quality and consistent communication with the Customer Service Charter.
- Prepare meeting minutes as required.
- Monitor and manage resolutions and requests arising from Council decisions on behalf of the Manager City Technical Services.
- Assist in the preparation and editing of reports and business papers, including sections of the Annual Report and ET reports that support and promote Council’s programs and initiatives; Research, develop and implement work systems, procedures and processes relevant to the work area.
- Collate contract information to assist City Technical Services team to engage contractors/consultants.
- Collate project information and update relevant sections of Council’s website; Councillor Information Channels; and mapping.
- Ensure that information and records are maintained, stored and disposed of in accordance with relevant policies and procedures.
- Ensure that strict confidentiality is maintained, and privacy principles are adhered to in regard to the use or disclosure of all information of a confidential, private or personal nature.
- Using design programs such as Canva to create documents and signage for the City Technical Services team.
- Develop and update City Technical Services design, project and communication templates.
- Collate and disseminate documentation associated with City Technical Services specific Councill Meetings/Briefings; and
- Other relevant duties as instructed.

- Excellent interpersonal and communication skills including the ability to produce written material of a high standard without supervision.
- Demonstrated competency in Microsoft Office Applications.
- Demonstrated ability to research and analyse complex issues.
- Strong problem solving and analytical skills.
- Demonstrated ability and experience in dealing with sensitive information.
- Demonstrated high-level organisation skills, including ability to set work priorities and meet predetermined deadlines and commitments.
- Proven ability to work effectively and cooperatively in a team environment.
