About the role:

We are looking for a Practice Manager who will be responsible for providing administrative support to the firm, managing customer records through CRM, and assisting with the recruitment and onboarding of advisers.

As a Practice Manager, you will work closely with the CEO to ensure the day-to-day running of the firm is smooth and efficient. This is an excellent opportunity to gain exposure to all facets of the company and grow within the organisation. The ideal candidate is self-directed, detail-oriented, and takes pride in their work.

Key Responsibilities

● Providing day-to-day administrative support

● Microsoft Word (formatting/conversions/compares)

● Microsoft Excel, PowerPoint, Teams

● Management of workflow/project management tools

● Attend meetings and circulate actions

● Support staff in the practice

● Manage logistics of events, liaise with event and conference contacts

● Maintain and update client records through CRM

● Develop CRM management systems and processes

● Ensuring accurate and timely preparation of monthly bills, including document management for each monthly billing cycle

● Generate tax invoices Create weekly and monthly time reports for advisers

● Provide basic IT support

Skills and Competencies

● 5+ years of related experience required in working in an executive assistant role supporting C-Level executives

● Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)

● Experience using CRM systems such as PipeDrive, Salesforce and Hubspot

● Experience using any accounting and invoicing systems such as Xero.

● Experience using any task management or project management systems such as Trello, Asana or Monday.com

● Excellent verbal and written communication skills.

● Detail-oriented and good time management skills and ability to prioritise work.

● Has a strong business sense and can decipher priorities and make sound judgment calls when needed.

● Ability to take initiative, anticipate needs and exercise independent/sound judgment.

● Ability to think outside of the box with a sense of urgency.
