Your Future RoleBased in Cardup, we are looking for a passionateProject Administratoron 12 Month Fixed term Basis to join our business as it goes through an exciting growth phase. The Project Administrator supports the Project Managers' by handling administrative tasks, ensuring smooth communication, document flow, and coordination among project teams. Assisting in executing projects, keep precise records, and contribute to the successful completion of construction projects within budget and on schedule.
Key Responsibilities
- Maintain project documentation and filing, including contracts, permits, drawings, and specifications, ensuring they are accurate, organised, and readily accessible.
- Facilitate communication between project stakeholders, including clients, contractors, architects, and internal project teams, by relaying messages, scheduling meetings, and distributing project-related information.
- Assist in coordinating project activities.
- Track project expenses, budgets, and invoices, assisting in the preparation of financial reports and maintaining cost records.
- Assist in obtaining permits and approvals, ensuring compliance with regulatory requirements and project specifications.
- Schedule and prepare materials for project meetings, take meeting minutes, and distribute action items to relevant parties.
- Assist in the change order process, documenting changes to project scope, cost, and timelines.
- Identify potential project risks and issues, communicate them to the project team, and assist in implementing mitigation strategies.
- Prepare and distribute project status reports, progress updates, and key performance indicators to project stakeholders and management.
- Maintain an organised system for archiving project documents and records, ensuring their long-term accessibility.
- Other admin task as required.
Skills and Qualifications
- Demonstrable experience in Business Administration, Project Administration, or a related role.
- Previous experience in the construction or precast concrete industry(Desirable but not essential).
- Strong organisational skills to manage project documents, schedules, and meetings effectively.
- Excellent communication and interpersonal skills to interact with diverse project stakeholders.
- Exceptional attention to detail to ensure the accuracy and completeness of project documentation.
- Proficiency in project management software, Microsoft Office Suite, and document management systems.
- Strong problem-solving skills to address project-related issues and changes.
