Role Overview:
- Assisting the Managers to achieve on time, on budget and on quality completion of contracts as required.
- Entry, Approval and distribution (within your limits) of Purchase Orders& Work Orders
- Complete with accuracy and submit all claims by the 25th of each month or as directed by management and submit all invoices by the 8th of each month or within 24 hours of receiving the approved certification
- Assist with submission of report’s to Clients / Superintendents / Project Managers / Supervisors and Team Leaders
- Maintaining the daily current works whiteboard while liaising with other Project Managers, Project Supervisors, Team Leaders & Operations Managers
- Updating regularly of all projects within the master program for the Construction Team
- Having a good working knowledge of projects and variations on all projects
- Ensure that Variations are entered into the schedule correctly and then entered into Workbench on approval and claimed as required
- Maintaining proper and accurate documents and records for each project (Job Cost Software Package and Ausland Project handover & tracking documents, program, excel spreadsheet and budgets) and distribute to appropriate staff
- Prepare agenda and minutes for internal meetings as required
- Supporting continuous improvement through advising and assisting in staff training and development
- Assist in reviewing timecards and leave request as required
- Providing advice to staff and management on administrative matters
- Participate and complete all tasks within the company’s 90-day plan
- Ensure that all Safe Workplace Procedures and related company policies are followed at all times to ensure we are complaint to legislative and accreditation requirements.
- Record any plant & equipment maintenance in the appropriate software
- Record and oversee the maintenance and servicing of fleet, plant & equipment and tools
- Assist in Onboarding of new staff
- Respond to all queries in a timely manner via email/ phone/ website/ in person
- Participate in the handover of projects from Estimator to Construction to maintenance collecting all required information as per the procedure in place.
- Ensure that budgets are correct in the appropriate software according to the schedule
- Receive deliveries from suppliers to the factory and clearly mark all items with job code as per procedure
- Assist in supplier returns
- Formulate and follow your default diary
- Report any incidents, accidents, hazards or near misses in the work place immediately as per company procedures
- Any other job-related tasks as directed by management
Skills & Qualifications:
- Trade qualification, degree or relevant experience
- Previous Project Administration (at least 3 years) experience in commercial landscaping or similar
- Strong understand of contracts and budgets
- To be conversant with Quality, Environment, Safety Management Systems
- Communicates clearly, professionally and confident in written and oral forms to both internal and external clients at all levels
