Ausland is a successful project management company in landscape construction and maintenance, operating since 1996 currently maintaining in the region of 100 contracts across Melbourne. Auslandis the preferred landscaping partner of leading landscape architects, property developers, and local councils across Melbourne.

Ausland works with landscape architects, property developers, and local councils to deliver projects of all sizes and complexities. We have the experience, resources, and capabilities to manage projects of all sizes and complexities. We currently complete approximately 80 projects annually including large-scale parklands and streetscape projects, as well as residential frontages, which are delivered through our innovative Front of Lot installation service. We also offer tailored maintenance programs.

We pride ourselves on the delivery of the highest standard of workmanship across every aspect of landscaping construction.

Role Overview:

  1. Assisting the Managers to achieve on time, on budget and on quality completion of contracts as required. 
  2. Entry, Approval and distribution (within your limits) of Purchase Orders& Work Orders
  3. Complete with accuracy and submit all claims by the 25th of each month or as directed by management and submit all invoices by the 8th of each month or within 24 hours of receiving the approved certification
  4. Assist with submission of report’s to Clients / Superintendents / Project Managers / Supervisors and Team Leaders
  5. Maintaining the daily current works whiteboard while liaising with other Project Managers, Project Supervisors, Team Leaders & Operations Managers
  6. Updating regularly of all projects within the master program for the Construction Team
  7. Having a good working knowledge of projects and variations on all projects
  8. Ensure that Variations are entered into the schedule correctly and then entered into Workbench on approval and claimed as required 
  9. Maintaining proper and accurate documents and records for each project (Job Cost Software Package and Ausland Project handover & tracking documents, program, excel spreadsheet and budgets) and distribute to appropriate staff 
  10. Prepare agenda and minutes for internal meetings as required 
  11. Supporting continuous improvement through advising and assisting in staff training and development
  12. Assist in reviewing timecards and leave request as required
  13. Providing advice to staff and management on administrative matters
  14. Participate and complete all tasks within the company’s 90-day plan
  15. Ensure that all Safe Workplace Procedures and related company policies are followed at all times to ensure we are complaint to legislative and accreditation requirements. 
  16. Record any plant & equipment maintenance in the appropriate software
  17. Record and oversee the maintenance and servicing of fleet, plant & equipment and tools
  18. Assist in Onboarding of new staff 
  19. Respond to all queries in a timely manner via email/ phone/ website/ in person
  20. Participate in the handover of projects from Estimator to Construction to maintenance collecting all required information as per the procedure in place. 
  21. Ensure that budgets are correct in the appropriate software according to the schedule 
  22. Receive deliveries from suppliers to the factory and clearly mark all items with job code as per procedure 
  23. Assist in supplier returns
  24. Formulate and follow your default diary
  25. Report any incidents, accidents, hazards or near misses in the work place immediately as per company procedures
  26. Any other job-related tasks as directed by management

Skills & Qualifications:

  1. Trade qualification, degree or relevant experience
  2. Previous Project Administration (at least 3 years) experience in commercial landscaping or similar
  3. Strong understand of contracts and budgets
  4. To be conversant with Quality, Environment, Safety Management Systems
  5. Communicates clearly, professionally and confident in written and oral forms to both internal and external clients at all levels
