We are experts in our field, and we are passionate about mining.The OpportunityWe are currently looking to hire a Document Controller to join the Mine Infrastructure and Project Delivery (MIPD) team in the Newcastle office. This is an opportunity to join a growing team within the WSP Mining and Energy group where you will be primarily assisting with the delivery of project documentation and deliverables for a wide range of projects. The projects are predominantly in the mining sector focussed on mine Infrastructure and minerals processing but with the opportunity to work in water, hydrogen, and renewables, supporting our clients in the transition to a sustainable future. What you’ll do: Supporting the successful delivery of engineering projects by our WSP practices, working with various members across the MIPD team to achieve final project outcomes.Assisting with the preparation, collation and finalisation of engineering and project documentation including engineering deliverables, maintaining project plans and registers, HSE plans, and other documentation as requiredCollating project reviews and reports utilising information obtained from WSP systems and processes for project manager review.Assist with project setup and close-out activities to support project manager in line with WSP procedures and processes.Assist with the preparation, issuing and tracking of monthly invoices.Assist with maintaining project controls and associated ERP systems, supporting the Project Controls Lead and project manager.Project administration to mobilisation, travel requirements, logistics, expenses and other administration requirements.Attending and organising meetings as requested to take minutes, follow up actions and record of their completion.Administering all document control processes and procedures, using specific software programs for the sharing and transmission of documents. These programs may include but are not limited to: | Team Binder | Aconex | SharePoint | ProjectWise.Provide support in a team environment to achieve delivery.What we’ll love about you:Previous experience in a project administration role/s within an engineering consultancy environment (or similar).Financial management experience including cost control, budgeting, and forecasting is desirable but not essential.Excellent interpersonal skills, a strong, proactive, work ethic, and the ability to work well within a team environment and autonomously.Computer and software skills comparable to role, including but not limited to Microsoft Office Suite applications and Enterprise Resource Planning systems.Demonstrated experience as a Document Controller in an Engineering Consultancy (or similar) supporting major infrastructure or mining projects.Excellent written and verbal communication skills and relationship-building skills, both internally and externally.An ability to prioritise, negotiate, be thorough, organised and work with a high level of attention to detail.Ability to work with minimal supervision in a fast-paced hybrid office environment.Commitment to safety in the workplace.What you'll love about usAt WSP we provide a diverse and inclusive work environment and offer many personal and professional development opportunities that are aimed to help you deliver your best self to the role whilst managing your personal life in balance.
