About the role
Working within the Property & Capital Works team you will be supporting Managers to ensure the smooth and timely delivery of day-to-day administration tasks and projects by providing strategic, technical and logistical backup.
This is a permanent full-time position based at Hammondville. The role requires flexibility to travel to other HammondCare sites once or twice a week depending on operational requirements. Mileage will be reimbursed.
Key Responsibilities include
- Administration support to Property Managers in the Property Portfolio
- Researching and analysing information for projects
- Providing technical, and logistical backup to the Property team to ensure the smooth and timely delivery of operational Capital projects and Minor works
- Administering and maintaining facilities maintenance contracts database
- Reviewing contract costs and benchmarking against industry costs
- Assisting to develop yearly budgets for Property and Minor Works
- Maintaining education database for Property staff and ensure staff are scheduled into mandatory education sessions on time
- Ensuring new staff are onboarded and booked to attend orientation days and on-site inductions are scheduled and completed.
- Providing ongoing reporting to the Property management team on the professional/ vocational development of staff within the Property & Capital works team
- Maintaining policies, procedures and guides and ensuring they are sent for review and updated in agreed timeframes
- Reviewing and coding invoices and making recommendations for approval
- Preparing regular risk register reports for analysis by the Leadership Group.
- Assisting with ongoing reporting on the organisations renewable energy objectives
About You
- Commitment to engage and align with HammondCares Christian Mission, Motivation and Mission in Action
- A minimum of 4 years demonstrated experience in a Project Coordinator or like role managing complex, competing demands and time pressures
- Strong data analysis skills
- Demonstrated proficiency in communicating effectively, in order to work competently with people of all levels and backgrounds
- Demonstrated experience in applying initiative and creative problem-solving
- Strong MS Office experience
- Demonstrated ability to work independently and in a dynamic team environment, under minimal supervision
- Exceptional work ethic
- Current Drivers Licence with safe driving record
- Willingness to travel between HammondCares sites and services
- Experience working within construction, property management, facilities management or like field preferred but not essential
