Job DescriptionAbout the Role
Reporting to Senior Manager, Commercial Project Delivery, the role will be responsible for coordinating reporting. With your strong stakeholder management skills, attention to detail and core factual writing skills, you will be helping to lead the coordination of all participants on the project, including both within the internal DV MAPT team and liaising with external stakeholders and Project Partners where required.
About You
Core requirements for this role include but are not limited to, the following:
- Excellent written communication skills, including planning, outlining, editing, revising, spelling, sentence structure and grammar skills and the ability to report key information and issues, in a succinct way that can be easily interpreted by its audience;
- Tailored writing skills based on the audience (board, executive, steering committee, builder, etc.);
- A keen eye for detail;
- Excellent time management skills, and the ability to work under minimal direction/autonomously.
- Can work well under pressure, adhering to tight deadlines, whilst maintaining a calm disposition;
- Ability to take an aerial view across the whole of the Precinct and its sub-project components, to provide cohesive and consistent reporting outcomes, including identifying gaps and proactively seeking solutions to address any inconsistencies;
- Experience with continuous improvement initiatives highly desirable;
- Strong stakeholder/people management skills with demonstrated experience working with a broad range of personalities and work-styles;
- Previous experience with government processes and Project Reporting desirable;
- Strong MS Suite skills (specifically Word, Excel, PowerPoint, Teams and SharePoint);
- A tertiary qualification and/or 5 years’ demonstrated experience in a commensurate role.
Key Responsibilities
Including but not limited to:
- Build strong internal relationships to build trust and encourage proactive communication and reporting requirement resolution;
- Act as a key point of contact between the DV project team, the wider internal Civic Infrastructure group, the business and also the external stakeholders for reporting purposes;
- Preparatory drafting & coordination of complex Project Steering Committee, Project board and Project dashboard reports;
- Preparatory drafting & coordination of internal Board reporting;
- Preparatory drafting & coordination of complex decision papers between primary stakeholders,
- Noting that the above will involve liaising with Project Directors on deadlines and updating of content, liaising with various team members to update program, budget, risk, milestones and key issues.
In addition:
- Preparatory drafting & coordination of Minister Office updates;
- Preparatory drafting & coordination of complex Ministerial briefs in short time-frames;
- Preparatory drafting & coordination of internal Steering Committee presentation;
- Preparatory drafting & coordination of ad hoc presentations/content for a range of audiences – team/departmental/DV wide/stakeholders/externals/Board;
- Developing & enhancing systems/processes/management plans to uphold project & internal governance requirements;
