ONE Rehabilitation Service is excited to announce we are looking for a full-time admin wizard to join our team. Our newest team member will be enthusiastic, approachable, client focused and highly organised with a broad range of administration experience. This role exists to help make our client’s experience at our clinic even more exceptional and to support our clinicians in delivering high quality services.

About Us 

ONE Rehabilitation Service is a vibrant private practice, offering client centred, evidence-based rehabilitation and disability services to people following an acquired brain injury, stroke or neurological conditions. 

Our team of physiotherapists, occupational therapists, speech pathologists, exercise physiologists, social workers and psychologists provide clinic-based services in our expansive, Ashford site as well as on the road in our client’s homes and communities.

About the Role 

We are on the hunt for an experienced and results-driven Receptionist to join our team. You will be closely supported by the Practice Manager to make sure our clinic is as welcoming a space as possible for our clients and support our allied health team to ensure that the whole team can operate in a coordinated and professional manner.  

We are seeking someone who is extremely well organised with an approachable manner and exceptional communication skills. The successful candidate will be committed to providing excellent customer service and be positive, solution focused and innovative team player. The position would suit an experienced Receptionist looking for a new challenge in a busy practice, or a quick learner looking to move into this kind of working environment. 

As our receptionist, you will be responsible for the first and last impressions of every client and their support networks. You will play a key part in supporting our allied health clinicians in providing high quality supports to our clients.  You will be a pivotal player in the ONE Rehabilitation Service Team and be empowered to really own the role and make your mark. Most importantly, your work will matter and be recognised. 

Key Responsibilities: 

  • As the face of the practice, your main role will focus on providing exceptional reception service for our wonderful clients 
  • Managing phone calls and referral enquiries and bookings - ensuring everyone has a smooth and seamless experience 
  • Working with the referrals coordinator to provide administrative support for onboarding new clients and managing approvals 
  • Answering our clients’ questions and addressing concerns 
  • Organising and managing payments for self-funded clients and assisting with health fund claims 
  • Use of our practice management software – Splose, to generate and manage client files, bookings and payments and track client budgets 
  • Scanning and filing of clinical documents and reports 
  • Providing general assistance and support to the clinical and administrative teams 
  • Completing general administrative tasks done on daily, weekly and monthly checklists
  • Assist in the management and maintenance of our vehicle fleet 
  • Assist in the management of general clinic systems 
  • Work collaboratively with the whole team to deliver an excellent service to clients, allied health professionals and referrers. 
  • Taking charge of the front desk and making the role your own

About you: 

  • You have a friendly, results focused disposition, a strong team work ethic, and a desire to learn

  • You have excellent communication skills both written and verbal. This is extremely important to us 
  • You must love working with people, remembering client names, and making everyone feel well looked after 
  • You have great integrity; you are trustworthy and honest 
  • You have exceptional organisational and time management skills; you can prioritise and then re-prioritise your work in a changing environment 
  • You are accountable and have meticulous attention to detail, are focused and efficient 
  • You are love working in a fast-paced environment. We are a busy clinic and the role will require you to be comfortable with multi-tasking and working collaboratively with your peers
  • You are resourceful – if you don’t have the answer, you go out and find it 
  • You are comfortable working both independently and collaboratively within a team 
  • You are educated and a quick learner and have strong computer skills especially Microsoft Office Suite and are willing to learn the intricacies of our internal systems 
  • You have a positive, can-do attitude and a great sense of humour. You bring energy to the room and love to have fun at work 
  • Current National Police Check 
  • Experience with tools such as Facebook Business and Ads Manager, Google Ads, Hootsuite, Canva & Google Analytics along with experience within the allied health industry and knowledge of AHPRA advertising guidelines is advantageous.

This is a full time position working 9am to 5pm Monday – Friday. No after hours or weekend work necessary.
