Key Responsibilities
- Efficient management of the Reception Function including handling incoming phone calls, coordination of daily meeting, calendar requirements, organising appropriate catering, welcoming visitors and like responsibilities
- Greeting visitors
- Pre-empting client / team meeting requirements for refreshments or display materials
- Managing incoming and outgoing correspondence including emails, letters, parcels, and the like
- General Studio duties such as filing, scanning, copying, document management and stationery / stock supplies
- Ownership of Studio presentation which includes a workspace that always remains uncluttered and tidy as per OHS standards.
- Other miscellaneous duties in keeping with reception and administrative tasks
- Assisting with coordinating events
Skills and Experience
- Minimum 3 years’ experience working in a corporate reception / administrative / customer services or like role
- Impeccable presentation, a warm friendly approach and caring nature
- Passion for being a welcoming first point of contact and a general philosophy of helping others
- Professionalism and ability to maintain client confidentiality
- Client Services ethos that is demonstrated in your ability to build rapport quickly and easily
- Demonstrated an ability to actively contributing to a positive team environment
- Proficient skills with Microsoft Office Suite and InDesign skills would be advantageous
- Excellent attention to detail and ability to meet deadlines in a fast-paced environment
- High levels of initiative and proactively assists to solve problems and ensures issues are resolved quickly
- A passion for learning and continuous improvement.
