Receptionist
- Reception duties including –
- Opening and closing of office
- Answering and transferring telephone calls to employees and communicating messages to the appropriate staff members
- Effectively dealing with incoming and outgoing mail both written or electronic and keeping records of same
- Welcoming and attending to clients and guests either in person or on the telephone
- Maintaining conference room calendar and updating any changes to new client appointments
- Maintaining tidiness of reception and conference rooms
- Accessing, modifying and storing of new client correspondence and documents
- Maintaining and ordering of firm stationery
- Maintaining the staff kitchen including emptying/loading of dishwasher, ensure kitchen is clean and presentable at all times, monitoring of kitchen supplies and ordering supplies when necessary
- Assistance to Office Manager utilising document management and accounting system (Leap), such assistance to include –
- Creation of new clients and new matters
- Creation of new client initial consultation accounts
- Creation and sending out welcome packs to new clients
- Contacting clients in relation to appointments
- Assisting Solicitors with making client appointments, sending emails, creating and sending Microsoft Teams appointments
- Preparation of Client 5- and 8-week reminder letters, limitation date reminder letters and file close letters
- Completing any outside duties such as, bank deposits, kitchen supply runs and Birthday morning tea shopping

To be successful in this role you will display well-developed interpersonal and communication skills, exceptional organisational skills and the ability to work well under pressure and to multi-task. Good typing skills with high accuracy, digital technology knowledge and Microsoft Office skills are also essential technical skills for the role.
