A key component of this, is our role as the lead agency for a number of headspace centres.We are looking for a Receptionist/ Administration Assistant to join our Metro Team. This role is based at our Head Office, located in Burswood, on Whadjuk Noongar Country.Permanent, part-time position (0.8FTE)Monday to Thursday hours - have every Friday off! This position will provide a welcoming, safe, and respectful first point of contact for young people, their families, and all visitors accessing the Youth Focus Burswood Office. The key responsibilities of this role include:Attend to all incoming telephone calls, emails, and messages in a professional and effective manner including appropriately managing client contacts.Effectively handle the reception of young people and families in a distressed state and ensure they are transferred to the appropriate clinical staff or alternative service as required.Manage duties associated with client appointments including completion of forms, redirection of referrals when suitable, and managing cancellations.Ensure reception area and meeting rooms are kept tidy, including general housekeeping duties as needed.Provide administrative support to the clinical team, including data entry of relevant client information in MMEX or Medicare billing.Set up, attend, and provide ad hoc assistance with meetings and events as required.Effectively book and manage approved travel requirements for staff.Assist with other ad hoc administrative tasks as directed.About YouTo be considered for this position, applicants will have:2 years' experience in a similar reception/administrative role, ideally within a health, medical or community services setting (preferred).Well-developed interpersonal skills to ensure reception is a friendly and welcoming experience for stakeholders and clients.Ability to work with complex and confidential matters in a discrete and sensitive manner.Ability to effectively communicate with a variety of clientele and external stakeholders.Developed organisational skills and pro-active approach.Must possess strong computer skills including word processing and use of Microsoft Suite, including Outlook.Ability to work effectively in a team environment.Current 'C' Class Driver's Licence and access to a reliable vehicle.Ability to work one 'late shift' per week (until 7.30pm)To successfully become part of our team, it is just as important to align with our values as it is to meet our selection criteria.
