We are looking for a Receptionist, Office Co-Ordinator for our Melbourne CBD office. This is an on-site part-time role, Monday to Friday, 9am - 1pm.
No two days will be the same, and you will thrive on multi-tasking and ensuring the site is running as smoothly as possible. This role will be the first point of contact for all who are entering the site as well as some administration tasks.
Who are we looking for to join our team?
- We are looking for someone who can think on their feet and ability to build relationship with a variety of stakeholders.
- Strong planning, time management and co-ordination skills
- Excellent listening, written and oral communication skills.
- Prior customer service experience.
- Previous invoicing reconciliation experience preferred.
- Experience in building rapport and maintain relationships with a variety of stakeholders.
Now let’s talk about what your day to day could involve:
- Reception duties.
- Managing the site credit card (or P-Card) , ensuring the correct process , approvals through COUPA have been sought and then ensuring the monthly reconciliation is complete with the correct documentation.
- Working closely with the Facilities Manager to ensure the compliance of the site. For example: the site has sufficient first aiders, fire wardens, quarterly audit of the first aid kit, monthly building inspections are carried out & documented, maintain a site incident report and maintaining the sites sustainability standards & goals etc.
- Ensuring the site is maintained to a high standard, ensuring any site issues are followed up and immediately reported and or the right contractor (vendor) using or department (RESO) if there is an issue.
- Managing the stock levels and deliveries for the site (e.g. milk or fruit deliveries for our employees)
