What you'll be doing
The purpose of the position is to provide secretarial, administrative and reporting support to the Management Team and functions within the organisation as part of a shared services team. In addition, this position will be responsible for the preparation of reports on behalf of the management group reporting for:
- Local Government
- State Government
- Federal Government
- Private Contracts
- Operational reporting on various levels
- Board of Directors.
What the role involves (not limited to):
- Management of day-to-day activities as directed by the COO
- Provide Admin Support, Calendar Management and other requests from the CEO and COO
- Research and provide support to Senior Managers on Projects as assigned by the CEO and COO
- Provide secretariat support to the Management Team and Board of Directors as well as various sub-committees and operational meetings
- Schedule meetings, book facilities/equipment, prepare agendas, attend meetings, collate and prepare papers, reports, maintaining minutes of meetings and disseminate information to members within agreed timeframes
Work alongside the Quality Manager (QM) to:
- Receive, process, and liaise with assigned personnel to progressively monitor incidents, accidents and complaints management processes, and conduct related investigative support work as requested by the QM.
- Maintain Complispace registers and related data file repositories for incidents, accidents, complaints/compliments, feedback and continuous quality improvement.
- Provide timely data and reporting support as requested by the QM..
- Workplace Investigations: Liaising with the Quality Assurance Officer in regard to work place investigations. Provide key support role to management in preparation of reporting requirements for executive and board, related to all Complispace systems, registers and functions. Receive data and monitor investigation and resolution process for incidents complaints and grievances.
Qualifications & Experience
- Certificate IV in Business Administration or Occupational Health and Safety or relevant related field and 2 years’ experience in a similar role
- Well-developed communication and interpersonal skills to engage with a range of internal and external stakeholders
- Well-developed organisational, time management and prioritisation skills. Demonstrated ability with written, numeracy and computer skills to complete record keeping requirements
- Proven experience in Workplace Investigations and Reporting Processes.
- Proven ability and willingness to support a culture of safety, legislative compliance, quality, and continuous improvement.
- Knowledge of NDIS & Aged Care Support.
