Sales Administration & Marketing Coordinator

We are seeking a detail-oriented and highly organised Agent Support Administrator to join our team. This is a fantastic opportunity to join our Real Estate organisation based on the Gold Coast.

This is a diverse role where no two days are the same. You will be the administrative backbone to our leadership and new agents coming on board.

Real estate experience is essential where you have been working in the role of agent support, administrator and/or already coordinating a small support team; we would love to hear from you. 

Key Responsibilities: 

  1. Administration/Sales Support Co-Ordination: Co-ordinate the sales support to Agent Growth Director and agents as needed, including scheduling meetings, managing calendars, preparing Form 6's, marketing budgets and contracts as well as general administrative tasks.
  2. Sales Support Agents - Onboarding new and ongoing support and        assistance of agents, troubleshooting and assisting with CRM database and other related platforms, inbound and outbound calls daily as needed via phone call/Microsoft Teams etc. Ensure appropriate processes are in place. 
  3. Marketing - Assist with creating marketing material such as signboards, brochures, e-newsletters. Ability to be able to update WIX website with online store. Experience with Illustrator, InDesign graphic design programs and Canva. 
  4. Social media - Assist with managing social media, LinkedIn, Instagram, Facebook. 
  5. Training & Events Co-ordination: Assist with scheduling, organising and administrative tasks for training, events and meet-ups in person and via webinars. 
  6. Reporting & Tracking: Assist with creating and compiling reports as needed from CRM and platforms for CEO, Agent Growth Director and team. Ensure reports are set up, records are up to date by agents/users and CRM reports are provided to assist with individual and team KPI’s, commission and financial tracking and reporting as needed by Finance and Leadership. 

 Skills:

  • Excellent communication skills, both written and verbal. 
  • Ability to take initiative.

  • Technology savvy and comfortable with new technologies. 
  • Willingness to learn and grow. 

Experience: 

  • Previous experience in Real Estate is essential, administrative and agent support experience is highly regarded. 
  • Familiarity with real estate industry practices and terminology. 
  • Experience and knowledge with different software, such as CRM Agentbox, RP Data, Realworks, and other. 
  • Proficiency in Microsoft 365 (Word, Excel, Outlook, Teams) and other relevant software. 
  • Strong analytical and problem-solving abilities to review and interpret reports. 
  • Ability to work independently and collaboratively within a team. 

This role is Monday-Friday, 8.30am – 5pm. The office is located in the vibrant WOTSO offices at Robina Town Centre.
