Key Responsibilities:
Administrative Support
Direct administrative support for the GM- Customer Partnerships and the Director, Operations and Business Solutions
Customer Proposals, Presentations and Tenders
- Provide administrative support to the Sales and Account Management teams for the professional presentation of all Customer Proposals, Presentations and Tender Responses.
- Ensure approved company presentation formats, tools and templates are used by the team
- Ensure all documentation and customer correspondence is in line with the approved company style guide including correct use of company logos, corporate colour palette and branding
- Ensure meeting rooms are prepared for formal customer presentations with appropriate catering, technical equipment, quality presentation materials and guest welcome process are effectively coordinated to ensure professional representation of the AFS brand
Management Reports
- Ensure all Sales and Account Management reports are compiled and submitted on time
- Review reports to ensure high quality information i.e., reports are complete, accurate and presented in line with agreed business and stakeholder requirements
- Escalate and report back any non-compliance to agreed reporting requirements or anticipated delays of the same
Maintain Sales and Account Management Policies and Procedures
- Ensure documented processes are maintained for all Sales and Account Management processes
- Process updates are reviewed, approved and distributed to all relevant stakeholders to ensure consistent best practice processes are deployed at all times.
- Current and approved Sales and Account Management tools and templates are utilised at all times
- Maintain library for users to ensure easy access and usage of agreed tools, templates and processes with strict version control and filing protocols
Customer Onboarding and Implementation
- Review and report back on areas of the Customer Onboarding and Implementation process that are delayed or need to be prioritised
- Provide administrative support as required to ensure customer onboarding is completed thoroughly, on time and in line with agreed onboarding processes
- Provide administrative support in driving out detailed requirements for onboarding and implementation
Meetings, Event Management and Coordination
- Effective administration of team meetings, sales events, functions and booking of resources i.e., catering, venue hire, invitations etc
- Ensure Customer entertainment is scheduled, tracked and recorded within the CRM
CRM Administration, Governance and Compliance
- Act as the Sales and Account Management Subject Matter Expert for all CRM tasks and processes
- Ensure Customer Account Records and Contacts are maintained and up to date by the Sales and Account Management Teams
- Ensure set up of new business accounts and customer onboarding is captured and documented end to end within the CRM
- Ensure correct Case Management is adopted and deployed for all customer processes i.e., Annual Price Reviews, Customers at Risk, Report Requests, SOP and SLA Reviews
- Provide training and coaching to all team members on the correct use of the CRM, drive adoption through consistent and constructive feedback and escalation
- Prepare and release customer broadcasts for important business communications and announcements
- Ensure data quality through regular auditing and quality control processes
- All Customer and Carrier related documentation is correctly named, stored and available within the CRM i.e., Contracts, SOPs, Quotes, Credit Checks etc
- Ensure Induction, onboarding and training of the CRM for new AM or NB team members is current and thorough to drive consistency
Skills and Experience:
- Previous experience in a Sales Coordinator or senior administrative role for a minimum of 3 years
- 3 years plus freight industry experience (preferred)
- Content Creation across varied consumer touchpoints
- Excellent attention to detail is critical
- Extensive Salesforce experience is essential
- Advanced Microsoft office suite
- Adobe InDesign (desirable)
Qualifications:
- Business Administration/Marketing Degree is desirable
