An exceptional chance awaits an adept Sales Administrator to join the ranks of a highly successful manufacturer and distributor of raw materials within construction and mining sector. This role's main function is to support the Commercial Sales team.
Reporting directly to the Administration Manager and forging close collaborations with Sales department, as well as their loyal blue-chip customers, overseas offices, and suppliers across the globe.
Your primary responsibilities will be to fully support the Commercial Sales team with the following tasks but not limited to:
- Provide customer support in person, by email and phone,
- Build sustainable relationships and trust with customers.
- Meet personal/customer service team targets,
- Ensuring the SAP system is kept up to date at all times,
- Receipt of customer orders
- Manage and obtain customer purchase orders (PO) and that orders are placed as per supplier arrangements,
- Manage all Shipping documents and carrier notifications.
- Shipment Costings to be regularly updated and given to sales at least two weeks prior to vessel arrival for price confirmation,
- Updated costings with prices variances and ensure all invoices are accurate.
- Ensure customers are invoiced in a timely and accurate manner.
- Handle customer complaints, provide appropriate solutions and alternatives within the time limits and follow up to ensure resolution,
- Keep records of customer interactions, process customer accounts and file documents,
- Maintain accurate customer stock counts/spreadsheets.
- Maintain Supplier invoices to be entered into invoice spreadsheets.
- Follow communication procedures, guidelines and policies,
- Provide suppliers with forecasts as required to aid in delivery management,
- Send customer price advice to ensure PO is updated prior to the invoice being sent.
This role suits an individual with a background in support, high end customer support and or purchase order management. You must demonstrate:
- Experience in a highly support role within a Sales or purchasing Department.
- Experience in the International logistics (Import or Export) / shipping industry, is essential.
- Knowledge of ICOTERMS preferred.
- Proficiency in advanced Excel or SAP preferred but not essential.
- Keen attention to detail is a must
- Experience with sales CRMs
- A sense of urgency
- A collaborative approach working within a team environment.
- Readiness to undertake additional tasks as necessary.
- Skillful task prioritization and exceptional organizational aptitude
