SCHOOL ADMIN ASSISTANT ALLROUNDER

FULL TIME | 12-month fixed term maternity leave cover

We are seeking an enthusiastic, experienced, flexible, caring, and compassionate administrative assistant to provide front of house services in our busy front reception area. They will also provide high level administrative support to the Enrolments Registrar in all aspects of the Enrolments process as well as to members of the Senior Executive Team. 

The Administration Allrounder role will involve a variety of tasks and responsibilities, requiring a willingness to adapt to changing priorities and assist with various adhoc tasks as required throughout the Administration Team.

The full-time working hours are 37.5 hours per week, including school holidays. There will also be times where whole school functions and events may require attendance by the Administration Assistant Allrounder outside of these set working hours.

Normal working hours will be Monday to Friday 0800 – 1600; however there is flexibility for this role to be 0900 – 1700. 

The successful applicant should possess: 

  • A minimum of three years’ experience in an equivalent administrative role; ideally within a school or university-based setting. 
  • Possess exceptional organisational skills with a passion for planning, organising, and prioritising a wide range of diverse administrative tasks.
  • Be self-driven and able to work efficiently to complete set tasks independently as well as being a strong contributor within a collegial and close-knit administrative team.
  • Be a strong communicator – both written and oral.
  • Have excellent interpersonal skills with the ability to establish a professional rapport with a wide range of internal and external stakeholders. 
  • Be knowledgeable and have the capacity to efficiently use ICT and organisational systems, high level computer skills, including proficiency across the Microsoft Office suite of products (word, excel, PowerPoint) email and calendar.
  • Experience with SEQTA, Synergetic and Consent2Go would be highly desirable. 
  • Have a proven ability to exercise a high level of confidentiality, discretion, and diplomacy.

In general, the position will be responsible for managing a wide variety of tasks within the main reception area. It will include providing cover to the main reception desks, answering telephone enquiries, providing assistance to students, parents, staff and visitors to the School, data entry and typing, ordering and issuing Student ID cards, administering minor first aid, ensuring attendance and absences are accurately recorded and followed up, issuing late notes and leave passes to students, supporting the Accounts Department and managing enrolment enquires and tours. 

A current Senior First Aid Certificate is a requirement of the position as well as the need to successfully obtain a Working with Children Check and National Police Clearance.
