About the role

The primary purpose of this role is to oversee the management and organisation of documents within the Intertek Minerals Business Line, Australasia, including the Minerals Laboratories, the Intertek Robotic Laboratories, the Mine site Laboratories and HSSE.

Duties

  • Develop and maintain document control processes and procedures to ensure the orderly management of electronic and hard copy documents.
  • Organise, classify, and maintain documents in SharePoint libraries or other document management systems.
  • Monitor document lifecycles, including creation, review, approval, distribution, and archival, to ensure compliance with established protocols.
  • Implement version control mechanisms to track document revisions and ensure access to the latest versions.
  • Serve as the primary administrator for SharePoint sites and libraries, managing permissions, metadata, and access controls.
  • Configure SharePoint sites and libraries to optimize document storage, retrieval, and collaboration.
  • Provide technical support and guidance to users on SharePoint functionalities and best practices.
  • Ensure adherence to document control standards, including naming conventions, metadata requirements, and security protocols.
  • Conduct periodic audits of document repositories to verify compliance with Intertek Minerals policies and regulatory requirements.
  • Collaborate with internal stakeholders and regulatory bodies to address document-related compliance issues and implement corrective actions as needed.
  • Develop and deliver training programs and materials to educate users on document management practices, SharePoint usage, and MS-Office applications.
  • Provide ongoing support and guidance to users on document-related inquiries, troubleshooting, and technical issues.

Qualifications / Experience / Skills

  • Bachelor's degree in information management, business administration, or related field or at least 5 years’ experience in document control or similar role in a high paced mining/laboratory environment. 
  • In-depth knowledge of document control principles, standards, and methodologies.
  • Advanced proficiency in SharePoint administration, including site creation, permissions management, and content organisation.
  • Advanced proficiency in MS-Office applications, particularly Word, Excel, and PowerPoint.
  • Strong analytical and problem-solving skills, with the ability to troubleshoot technical issues and propose effective solutions.
