Job description

The Rockhampton Grammar School was founded in 1881 and is an independent co-educational day and boarding school private school, educating and caring for students from Prep to Year 12, as well as the Early Learning Years. The School is the largest independent boarding school in Queensland and the second largest co-educational boarding school in Australia. It is a leading school in regional Queensland and one of the foremost schools in regional Australia. The Rockhampton Grammar School has achieved great success in the academic, cultural, sporting and vocational fields over the past 143 years. The School has a total enrolment of over 1,400 students (Prep to Year 12) who are exposed to our broad curriculum, giving effect to our commitment of Grow in Character and Scholarship.

The Rockhampton Grammar School is seeking to employ a dedicated and passionate Senior Finance Officer.

Classification: Full-Time, Fixed-Term (ASAP Start through to end of July 2025) | School Officer Level 6

Commencement:  As soon as possible, or as negotiated with the right candidate. 

Due to the large, fast paced nature of this position, the successful applicant requires demonstrated experience of at least five years in a similar role.

Under the direction of the Finance Manager, the Senior Finance Officer is responsible for the complex accounting and reporting functions of the School, together with compliance reporting and administrative systems.

KEY DUTIES AND RESPONSIBILITIES

The Senior Finance Officer will be responsible for:

Finance:

  • Preparation of monthly management reports in liaison with Finance Manager;
  • Support to the Finance Manager in the preparation of end of year financial accounts;
  • Assisting with preparation of the annual operating budget;
  • Maintenance and reconciliation of general ledger;
  • Maintenance of the asset register;
  • Oversee the preparation of FBT return and Business Activity Statements;
  • Manage the corporate credit cards;
  • Performance of quality checks on the allocation of operating and capital costs to ensure that expenditure is correctly coded according to approved budgets and that payments are accurately made;
  • Oversee the operation of finance and administration to ensure optimum efficiency, including the reception area, accounts payable and receivable;
  • Accounts receivable and accounts payable day-to-day processing as workflow requires;
  • Assistance with general office duties as required;
  • Oversight of the purchasing function and ordering system to ensure that the most cost-efficient use of resources is achieved;
  • Actively monitor compliance with the School’s financial policies and procedures;
  • Financial approvals both Alii & Bank per the Financial Delegations 

Other Tasks:

  • Provide relief coverage for finance duties when required;
  • Oversee all clerical activities of the Accounts Office including mailing, receipting, banking, filing, stationery, staff & student charges, tours and excursions, petty cash, archiving;
  • To act as Finance Manager when required;
  • Other duties as directed by the Finance Manager and Board Secretary.

REQUIRED SKILLS/KNOWLEDGE/EXPERIENCE
  • 5+ years’ experience in a similar role;
  • Excellent analytical, research, and problem-solving skills with an ability to identify and solve problems, and a desire to understand and influence key drivers that impact profitability;
  • Sound knowledge of Australian Accounting Standards, relevant tax and statutory requirements of a non-profit statutory body;
  • Experience in the preparation of financial reports;
  • Experience development and leading of budgetary and forecasting processes;
  • High level of competency in the use of information technologies, including Microsoft Office and specifically Excel;
  • Experience with TASS and Sage will be highly regarded;
  • Experience working in an educational and/or not for profit setting preferred, but not essential;
  • A high degree of integrity, honesty, commitment, and responsibility.
REQUIRED LICENCES/CERTIFICATES  
  • Relevant qualifications preferred;
  • Working with Children Check;
  • Police Check.

  • Maintain valid “working with children” documentation;
  • Undergo periodic “national criminal history record” checks;
  • Report to management any criminal charges or convictions you receive during the course of your employment that may indicate a possible risk to children and young people.
CONDITIONS OF EMPLOYMENT

The successful applicant will be subject to a “Working with Children Check and Criminal Records Check” where applicable. The School undertakes several screening processes to ensure the appropriate protection of children and young people in its care. This includes reference checks, identity checks, qualification check and professional registration checks.
