**Responsibilities:**

  • Coordinate the scheduling and dispatch of service technicians, optimizing productivity and efficiency.
  • Serve as the primary point of contact for clients, ensuring their needs are met with promptness and professionalism.
  • Manage all aspects of service delivery, from initial inquiry to completion, ensuring a seamless and satisfactory experience for our clients.
  • Handle incoming inquiries and requests with precision and accuracy, providing timely responses and resolutions.
  • Oversee the maintenance of client accounts, including follow-up on completed works and proactive engagement to address any concerns or feedback.
  • Prepare and deliver quotes for minor works and services, utilizing your expertise to accurately assess client needs and provide competitive pricing.
  • Review and approve completed jobs for invoicing, ensuring accuracy and completeness before submission.
  • Coordinate with suppliers and vendors to ensure timely delivery of materials and equipment for upcoming works.
  • Assist with recruitment efforts, screening potential candidates and facilitating the onboarding process for new hires.
  • Maintain comprehensive records and documentation, including timesheets and vehicle logs. 
  • Generate reports and analyses to track service performance and identify areas for improvement.
  • Provide administrative support to the Director, including scheduling meetings, managing calendars, and recording minutes as needed.

**Requirements:**

  • Proven experience in service management and coordination, with a track record of success in a similar role.
  • Strong organizational skills and attention to detail, with the ability to juggle multiple tasks and priorities effectively.
  • Excellent communication and interpersonal skills, with a customer-centric approach and the ability to build rapport with clients and colleagues alike.
  • Proficiency in relevant software and tools, including CRM systems and Microsoft Office Suite.
  • Ability to think critically and problem-solve on the fly, with a proactive and solution-oriented mindset.
  • Leadership qualities, with the ability to motivate and support team members to achieve common goals.
  • Flexibility to adapt to changing circumstances and priorities, with a willingness to go above and beyond to deliver exceptional service.
  • Relevant qualifications in business administration, management, or a related field are advantageous.
  • Experience with Aroflo Service management software and Xero accounting suite is advantageous.
