About the Assignment
The Operations Team Assistant provide high-level administrative support to both field and office-based team members, ensuring that admin services across all the EAPNG Upstream Operations teams are delivered effectively and efficiently, liaising with other Administration cohorts, ensuring resources are adequately distributed.
The role will support travel coordination when required for field-based team members and office-based team leaders and managers in accordance with Santos and EAPNG policies and procedures. Arrange and manage all logistics pertaining to travel dates, breaks and fatigue management of over cycle requests to ensure staff adhere to Santos's policy.
The role manages floor logistics including but not limited to facilities management requests, meeting room bookings, arrange uniforms for office personnel, IT support and cultural and employee engagement initiatives. This role delivers all field-based administration including the management of expenses and purchase orders in Coupa and SAP, roster management, new starter onboarding and cultural and employee engagement activities.
Tasks include:

- Provide high-level administrative support to office-based team members, ensuring that admin services across all the EAPNG Upstream Operations teams are delivered effectively and efficiently, liaising with other USO Administration cohorts, ensuring resources are adequately distributed
- Provide field-based administration support to enable Area Team Leaders and field operations to focus on their core responsibilities per the structured day calendar
- Co-ordinate, maintain and monitor all Domestic & International roster related travel and accommodation for EAPNG Upstream Operations field based staff, embedded/seconded contractors, and other contractors where required via the Santos Compass Travel System in accordance with Santos and EAPNG policies and procedures. Arrange and manage all logistics pertaining to travel dates, breaks and fatigue management of over cycle requests to ensure staff adhere to Santos's policy
- Support Onboarding, Mobilisation & Demobilisation of new staff and contractors and attend to the changing needs of existing staff (i.e. office moves, equipment and IT needs) to facilitate their productivity and smooth transition into the role
- Raise purchase and drawdown requisitions though Coupa, and make payments to suppliers via Visa Corporate Card, and recognise which method to use in each situation, process within in a timely manner, and liaise with relevant internal and external parties to expedite the order as necessary
- Process payments of invoices and ensure expenses are reconciled in a timely manner via the Coupa financial system
- Maintain and update filing systems (hard copy and electronic, i.e. SharePoint) to ensure information is well organised and readily accessible, with appropriate security and version control
- Provide assistance with clerical and administrative tasks to the site team including but not limited to word processing, formatting and other ad hoc administration tasks as required by the field-based team
- Maintain a good understanding of Santos' policies and procedures, as they relate to business administration to give appropriate instruction and support to team members. Proactively advise team members on any changes that may impact them
- Diary management - managing calendar and scheduling appointments and assembling necessary background materials as required
- Assist in the planning, logistics and administration of events such team offsite sessions
- Back up administration to QLD/NSW/Cooper Production Manager and other departments (ad hoc)
- Assist in the presentation and formatting of draft presentations and documents
This assignment is initially offered for 12 months, engaged via Chandler Macleod.
Location for this assignment is Brisbane working part-time office hour, 3 days a week.
About You
- At least 5 years previous administration experience
- Display exceptional communication skills with an emphasis on an on-site team environment
- Proficient in the use of Microsoft business applications (specifically Outlook, Word, Excel PowerPoint, and SharePoint)
