About This Opportunity
The UQ Node Administrator will support the efficient operation of QUBIC through the provision of high level administrative and operational support for UQ based investigators and their research groups, and will also work with the other Node Administrators in the delivery of professional services to support Centre-wide research endeavours. This role will also build strong working relationships between the Centre and key internal and external stakeholders.
Responsibilities
For the UQ Node:
Be a key point of contact for the UQ Node, building strong relationships with internal and external stakeholders of the Centre.
Manage administrative processes for the CoE specific activities of the Node to ensure the provision of high-quality administrative and operational support across the Node and consistent among Nodes.
Coordinate resources and infrastructure for the CoE specific activities of the Node
Coordinate event management for seminars, workshops, meetings of the Centre that may be hosted by the Node.
Track research income and expenditure across the Node, so as to assist with development and monitoring of budgets, raising requisitions, receipting invoices, managing credit card payments and reconciliations, and coordinating other node wide financial processes that may be required from time to time.
Assist with travel coordination - lodging travel requests, reconciling travel statements, booking flights and accommodation.
For the Centre overall:
In consultation with the COO, assist in the preparation of the Centre’s annual and other reports, coordinating contributions from other Nodes as required.
Provide secretariat support for meetings of various Centre-wide committees, including organising meetings, preparing agendas and associated meeting papers, writing minutes/notes of meetings, progressing meeting outcomes and action items, and maintaining records of membership and terms of reference.
This is a full-time (100%), fixed-term position for up to 5 years.
At HEW level 5, the full-time equivalent base salary will be in the range of $75,878.89 - $84,342.92 plus a generous super allowance of up to 17%. The total FTE package will be up to $88,778.30 - $98,681.22 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases – at least once a year.
About You
Relevant administration and/or secretarial administrative experience or an equivalent combination of relevant experience and/or education training.
Effective administration, coordination and communication skills.
Demonstrated skills in providing a high level of customer service, including effective interpersonal skills.
Demonstrated high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint and Outlook).
Effective organisational, time management and problem-solving skills.
Experience working as a team member in a busy environment.
Working knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge.
