The Venue

The Boomerang Farm is a golf course, Wedding and Events venue, and mountain biking destination located in Mudgeeraba, the heart of the Gold Coast Hinterland.

The Boomerang Farm is seeking a highly organised, experienced, and enthusiastic Weddings and Events Coordinator to join our team. Working with our Wedding Director and operational team, the ideal candidate will be responsible for planning, coordinating, and executing a variety of weddings, events, corporate functions, and social celebrations. This full-time position requires exceptional attention to detail, outstanding communication skills, and a passion for creating memorable experiences for our clients.

Key Responsibilities

  • Sales Process: Answer enquiries, send proposals, conduct site inspections, and follow up. Prepare and secure booking documentation and deposit/progress payments.
  • Client Consultation: Meet with clients to discuss their event and wedding visions, preferences, and requirements. Provide expert advice and creative suggestions to ensure their event exceeds expectations.
  • Event Planning: Develop detailed end-to-end event plans, including timelines, venue setup, styling, catering, entertainment, vendor contacts, and other logistical elements. Communicate event details in a timely manner to internal teams and external suppliers.
  • Vendor Coordination: Establish and maintain strong relationships with vendors and suppliers. Manage vendor communications, and ensure timely bump in/out.
  • On-Site Management: Oversee the setup of events and smooth handover to the Functions Team. Open and lock up the venue when required. 
  • Post-Event: Conduct post-event evaluations to gather feedback and reviews from clients and vendors. Seek professional film and imagery to assist the marketing team.
  • Reporting: Create and manage event budgets, ensuring all expenses are invoiced and paid for by the client. Provide regular budget updates and post-event reports to management.

Skills/Experience

  • Event Management and/or Hospitality qualifications highly desirable.
  • Minimum 3 years’ experience in a high-volume weddings/events environment.
  • Strong organisational and multi-tasking skills with the ability to manage multiple events simultaneously.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite. 
  • Event management software experience is ideal.
  • Must have a driver’s license and vehicle.
  • Immaculate personal presentation.
  • Ability to work flexible hours, with regular weekend work, as required.
  • Creative problem-solving skills and the ability to remain calm under pressure.
  • A keen eye for detail and a passion for creating memorable experiences.
