Kwila Lodge is the newest luxury Wedding and Events venue on the Gold Coast, set on 5.5 acres in Mudgeeraba, and featuring beautifully appointed villas, lodges, function centre and event gardens.
We specialise in outdoor and immersive indoor event experiences, surrounded by the natural beauty all aspects of the Gold Coast has to offer. Functions range from weddings, corporate events and private functions through to wellness retreats and fine dining experiences.
The Role
We are looking for an experienced Weddings and Events Coordinator to lead our weddings and assist in other special events.
Qualifications & Experience
- Minimum five years' experience within a similar role.
- Proven event planning and coordinating experience within the events industry and passion for weddings is essential
- Events management software experience is ideal
- Impeccable attention to detail
- Styling experience desirable but not necessary
- A friendly, flexible and positive nature, with affable personality, ability to relate to clients from wedding clientele, corporate sector and suppliers alike
- Must have a driver's license and own a vehicle
- Due to the nature of events, you must be able to carry over 8kg
- Familiar with booking systems and ability to process sales enquiries, quotes and invoices desired, but not required
- Hospitality & Events Management training considered favourably
Tasks & responsibilities, including but not limited to:
- Managing pre-planning and event coordination with clients in lead up to events; liaising with clients, suppliers and venue partners
- Fielding general enquiries from couples and their guests in the lead-up to event dates
- Delivery of wedding events, in addition to some corporate and social events
- Coordinating final event particulars and conducting site inspections with clients, vendors and event organisers
- Working to KPIs, maintaining databases & preparing reports
- Assisting the Directors as needed
- Working together with key staff on overall promotions
- In charge of coordinating all aspects of events to ensure all elements run smoothly, including pre-event planning, working closely with the client through to the completion of their event to ensure delivery beyond expectations
- Prepare event orders and communicate all details of upcoming events with the relevant teams within the business and external suppliers
- Collate and manage promotional and event information, imagery, video, collateral and image use approvals
- Request and secure reviews from clients
- Handle key property aspects of event related activity, including venue management, open and close procedures, events and maintenance reports etc.
