Our client prides itself on providing a high quality and trusted service to its commercial and industrial clients through the timely and accurate servicing of fleet vehicles and trucks. Due to growth, out client is seeking an Administration Assistant to join their team to provide support to management and staff, ensure the effective and productive day-to-day operation of the office, whilst providing exceptional customer service and assistance to clients.The role:
- Administrative duties including (but not limited to) data entry, filing, mail, scanning, printing, general housekeeping
- Answer and direct phone calls within a timely manner
- Manage and respond to emails, letters and calls in a timely manner
- Accurately manage the processing of job cards
- Organise and schedule bookings
- Assist in the preparation of invoices, quotes
- Order and maintain parts and office supplies
- Assist with accounts payable/receivable/reconciliations
- Be the first point of call and provide general support to all internal and external stakeholders
- Resolve and/or escalate issues in a timely fashion
- Drop off and pick up client cars as required
- Assist management and staff as required
What we’re looking for
- Strong oral, written and communication skills
- Exceptional time management and organisational skills with the ability to multi task and prioritise
- Competency with computers and use of software such as Word, Excel, Powerpoint, Outlook, Quickbooks and Xero.
- Willingness to learn, absorb and adapt to technological software requirements
- High attention to detail and strong problem solving skills
- A proactive and motivated self-starter willing to work as a team and independently
- Be punctual, show initiative and practice a positive can-do attitude
- Willingness to learn and develop with changing company needs and growth
- Tertiary qualification in business or similar
- Minimum 3 years’ experience in an office administrative role
- Understanding of motor vehicles desirable
- Drivers licence essential (manual licence preferred) and good driving record
- $28 per hour + super
- Full-time permanent role
