Position Overview:
Reporting to the CFO, the Accounts Assistant has a multi-functional role and works across all areas of finance, including accounts receivable/payable and payroll including client scheduling and billing. The Accounts Assistant works to tight or competing deadlines whilst maintaining quality and accuracy.
Key Responsibilities:
ACCOUNTS RECEIVABLE/PAYABLE – Assisting the CFO
- Operate the accounting package (currently Xero),and ensure its accuracy in terms of transactions posted to correct account and cost centre codes and GST is allocated correctly.
- Process General Accounts Payable and ensure source data is reflected accurately.
- Process Corporate Credit Cards to ensure accurate reconciliations and reporting of the same. The Accounts Assistant will also need to ensure all outstanding items are followed up in a timely manner.
- Process and being responsible for Client budgeting, scheduling and invoicing on CTARS as well as being the point of contact for all enquiries.
- Coding and processing of Accounts Receivable invoices in Xero.
- Preparing and posting of month end related journals as directed by the CFO.
- Providing detailed listings of all outstanding Accounts Receivable invoices during the month end process and escalate any issues that arise to the CFO and sending end of month Debtor Statements.
- Provide support to the CFO during End of Year audits including collating of financial information as requested by the external auditors.
- Assist in the preparation of timely and accurate reconciliations particularly around Receivables, Payables, Banking and GST accounts.
- Assist with other support activities and projects as directed by the CFO.
Payroll - Assisting the CFO:
- Accurately interpreting and complying with relevant awards/agreement and legislation that affects payroll.
- Processing and entering new employee's payroll details in the relevant System (Easy Employer and Xero (from a payroll perspective)
- Ensuring staff timesheets are accurately documented ready for payroll processing.
- Assisting and processing of the fortnightly payrun
- Preparation and timely delivery of pay slips and Filing of the STP Report to the ATO.
- Assist in managing Superannuation Choice funds for employees
- Assist in managing leave entitlements and payments
- Assisting with month-end and EOFY reporting
Demonstrable Competencies:
- Proven experience of 3 years or more in a similar role.
- Demonstrated communication and interpersonal skills appropriate for the various levels of staff clients etc.
- Sound skills in Excel and a strong exposure to commercial financial systems.
- Proven ability to manage competing priorities and meet deadlines while remaining calm under pressure.
- An ability to think broadly, take a whole of organisation view and see beyond “just the numbers”.
- Strong attention to detail.
- Ability to work both independently and collaboratively as a productive team member
- Willing to learn and be open to tasks at varying levels.
- Strong grasp of Financial Accounting processes and having significant exposure to a medium to large organisation.
- Experience with Xero general ledger and Payroll or other accounting packages.
- Experience in the Not for Profit, Public Sector and/or Disability services sector (desirable).
Qualifications and Licences:
- Australian Qualification Framework (AQF) Certificate/Diploma Level in Finance or Business or similar qualifications and/or experience deemed to be of equal standing.
- Existing Yellow card or Yellow card Exemption (prior to 1 February 2021) or NDIS Worker Screening clearance.
- Current unrestricted Queensland Drivers Licence
- Experience in a not for profit organisation (desirable)
- Experience within a NDIS organisation (desirable)
- Experience with complex Payroll Award/EBA (desirable)
