As our heritage/archaeological work has grown we require an experienced Part TimeAccounts Receivable Officer to support the continual growth of the business.
Purpose of the role: To manage all administrative duties as per the job specification including providing efficient office based administrative assistance to Company Archaeologists. The main function of this role is to ensure that all professional income invoicing is done accurately and, in a time effective manner in line with purchase order requirements, quotes and payment terms. To work collaboratively with the Accounts Receivable and accounts payable team to ensure all deadlines are met, disbursement costs are recharged appropriately to clients and in line with budgets.
Accounts Receivable
- Invoicing Clients for archaeological survey work and reimbursement of expenses incurred by the company;
- Enter financial data in MYOB;
- Work collaboratively with Accounts Receivable team to ensure all invoicing to all clients is done in a timely manner;
- Cross check all invoicing done for accuracy against the quotes before releasing to the client:
- Meet invoicing deadlines to ensure customers are invoiced promptly;
- Check quotes prepared by archaeological staff to ensure accuracy and current costs are used in the quotes;
- Set up New Job Folders and Budget Reconciliations with billing details.
General Ledger
- Assist with the reconciliation of Company Credit Cards when required; and
- Assist when required with General bookkeeping duties including Balance Sheet Reconciliation
Quality Management
- Adhere to the Quality Management System requirements.
General Administrative Duties
- Answer incoming telephone calls for the company;
- Work with other administrative staff to share the workload and ensure that the accounts are kept up to date;
- Other general administrative duties as required;
Training and Qualifications Required to Fulfil this Role
Essential
- Excellent time management and organizational skills and a demonstrated ability to adhere to strict deadlines even when under considerable pressure
- Demonstrated high level ability to use word processor and spreadsheets
- Advanced experience in MYOB and general book-keeping skills
- Demonstrated ability to think critically and identify report deficiencies
- Demonstrated commitment to continuous improvement reporting standards
- Demonstrated understanding of the importance of confidentiality issues
- Demonstrated ability to work as an effective member of a team
- Experience as an Accounts Receivable Officer in a medium sized office/family business.
Due to the collaboration needed between administration staff and the professional staff, this is an office based role and cannot be done from home.
The hours are Part Time and flexible for the right person. This is a permanent Part Time role therefore the salary will be paid on a pro rata basis for the actual hours worked.
