About the role:
The purpose is to provide support to the Business Analyst, Company Directors, and Recruitment Consultants to ensure that high quality general office administration, support administration of various systems, and assist with contractor onboarding requirements ensuring all requirements are monitored, completed, and maintained on-time and to the required quality standard.
This position will service all office administration and provide office support to the corporation from systems, recruitment, onboarding, compliance, and process development from an office admin support perspective.
The role will establish, review, and maintain performance against the baseline requirements, including timely and accurate reporting and ensuring the day-to-day functioning of the office and company requirements.
Your responsibilities will include:
- Managing reception, including greeting, and directing visitors
- Managing office environment, including maintaining office presentation, watering of plants, and ensuring kitchen duties
- Detailed minute taking for office internal meetings
- Ordering of office supplies, PPE, merchandise and maintaining inventory of stock
- Raising internal receipts and expense claims
- Adding new candidates to Alchemy systems with minimum required detail
- Sending and administering bulk emails for contractors and/or candidates
- Maintaining, and updating spreadsheets/systems for compliance
- Coordinate and booking of meetings/appointments, and catering if required
- Arranging post and deliveries as required
- Booking and arranging company events as required
- Arranging/booking courses – for contractors and internal employees
- Reviewing, and monitoring the completion of compliance requirements
- Assisting with client compliance and systems
- Contractor onboarding processes including but not limited to obtaining and managing contractor documentation, induction bookings, pre-employment medical bookings, travel bookings and camp requirements.
- Compiling all requirements and completing New Starter Checklists
- Conducting audits on internal systems and candidate documentation
- Managing LinkedIn posts and Alchemy social media accounts as required
- Assisting the recruitment team with reference checks, screenings, candidate care requirements (including safety checks, WHS rights and responsibilities checklists, etc), and posting job ads on platforms.
- Previous experience as an Administration Assistant, within a cooperate office environment or ideally the recruitment industry
- Ability to multitask and prioritise;
- Strong attention to detail
- Excellent written and verbal communication;
- Ability to work under pressure;
- Strong communication skills
- Confidence and personality.
