We are seeking an experienced Administration Assistant/Service Coordinator to join our team at Chermside working Full Time, Monday to Friday.
As part of this exciting role, you will organise and plan the activities of the service team in the field, whilst providing customer service to existing and new Customers and providing support to our Administration Team, Key Account Managers and Service Manager.

This position will be responsible for providing administrative support to a fast paced team.
- Monitor and manage daily workflow, compliance with company defined procedures
- Establish timeline for required service / repairs.
- Manage and coordinate on-road technicians by preparing job schedules
- Site bookings
- Dealing with a team of service technicians and third party sub-contractors
- Generation of Service Jobs / Routine Activities
- Monthly contracted service maintenance requirements to be met
- Responding to customer service calls and technician allocation
- Assisting with Administration tasks as required
- Invoicing
- Being a key point of contact and communication in developing strong relationships with customers to ensure repeat business
- Providing high quality, accurate information/services within agreed timeframes.
About You:
- A passionate communicator and ability to engage in forward thinking.
- Confident in phoning and following up customers.
- Scheduling or coordination experience
- Maintenance management software experience (Firemate experience preferred but not essential)
- Attention to detail and database maintenance experience
- Strong MS Office Suite experience, Excel included
- Analytical skills, being able to identify solutions and think outside the box
- Autonomous working style, with the ability to work collaboratively and present ideas; and
- Ability to adapt and think on your feet.
