Administration Assistant (Permanent Part Time)

Role Overview:
We are seeking a dynamic Administration Assistant. You will report to our Director & Administrative Manager, with the flexibility to work from home three days a week. You will play a crucial role in ensuring the smooth operation of our business support functions and will be responsible for managing various administrative tasks efficiently and effectively, contributing to our commitment to exceptional service delivery. Key responsibilities include:
- Managing incoming referrals.
- Answering phones and sending relevant faxes /emails.
- Liaising with our team & insurers & assisting with queries.
- QA reports for spelling/grammar (and fast turnaround).
- Distribution of reports.
- Invoicing (preparing and distributing invoices).
- Generation of spreadsheets / data etc.
- General social media and website support.
- Partake in projects as directed by Beyond Pain management.
- Undertaking all key responsibilities in a timely manner.
- Accuracy and compliance.
- Booking flights/accommodation for staff when interstate travel is required.
Skills, Education levels & Experience:
Essential:
- Minimum 5 years in an administrative role.
- Demonstrated skills in Microsoft Office suite (Word, Excel, PowerPoint).
- Ability to produce reports and materials for meetings and presentations.
- Strong organisational skills including the ability to manage priorities, coordinate tasks, meet tight deadlines and take initiative.
- Sound analytical and problem-solving skills.
- Attention to detail with QAing of reports.
- Proficient numeracy, literacy, and verbal communication skills in English.
Desired:
- Certificate in Administration/Customer Service.
- Experience in using Iinsight software.
- Booking keeping skills and experience.
- Development of reports.
- Various tasks associated with assisting Director(s).
- Experience in establishing and maintaining professional networks.
- Familiarity with guidelines associated with various schemes including but not limited to Life Insurance and Workers' Compensation system.
