Overview:

Archaeological Excavations Pty Ltd is seeking an highly motivated individual to join our team as an Administration Coordinator. The successful candidate will provide administrative support to our team of archaeologists, ensuring the smooth running of our operations.

This is a full-time position in our head office in Thomastown, and occasional travel to excavation sites is required.

The position is Full-time. 

Key responsibilities include:

  • Provide general administrative support to the archaeological team, including answering phone calls, responding to emails, and managing correspondence. 
  • Maintain and update company databases, including project records, client information, and financial data. 
  • Assist with preparing project proposals, reports, and other relevant documentation.
  • Coordinate travel arrangements and logistics for project team members, including booking flights, accommodation, and transportation. 
  • Manage office supplies and equipment procurement, liaise with suppliers and process purchase orders. 
  • Assist with managing project budgets, including tracking expenses and preparing financial reports. 
  • Support recruitment processes, including advertising job vacancies, scheduling interviews, and managing candidate applications. 
  • Maintain accurate and up-to-date records of employee leave, timesheets, and other relevant HR documentation. 
  • Assist with preparing presentations, marketing materials, and other company documents as required. 
  • Perform other duties as assigned by the management team. Qualifications and Requirements: 
  • Excellent organisational and time management skills, with the ability to prioritise tasks and meet deadlines. 
  • Strong attention to detail and accuracy in work. 
  • Excellent communication and interpersonal skills, with the ability to work collaboratively with team members and clients. 
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook. - Experience with database management, preferably with experience using software such as Xero, Servicem8 and Asset Tiger.
  • Ability to work independently and take initiative in problem-solving. 
  • Ability to maintain confidentiality and handle sensitive information with tact and discretion.

The ideal candidate will possess the following:

  • A proactive work ethic
  • Certificate in business administration, office management, or a related field. 
  • Proven experience in a similar administrative role, preferably in an archaeological or environmental consulting environment. 
  • Excellent written and verbal communication skills 
  • Experience with GIS is preference but not required
