We are currently looking for an exceptional and experienced Administration Officer residing in Southeast Queensland to be a crucial part of the Companies daily operations by providing Administrative Services to several departments including Engineering and OH&S in accordance with organisational policies and practices.
Key Responsibilities will include:
- General administrative services to the teams including filing, data entry, typing and assisting in the management of communications and paperwork, managing diaries, assisting with travel arrangements and or organisation, looking after visitors.
- Keep stock of office supplies.
- Manage incoming emails from a generic source, and direct enquiries appropriately, including issue of correspondence.
- Manage project set up.
- Maintaining company registers.
- Assist and maintain our Management System (OHS, Quality and Environmental).
- Set up and cleaning of board room, kitchen, empty bins on a daily basis, general tidy up.
- Assistance to the OH&S Manager to make improvements and implement required changes.
- Assistance to the General Manager to make improvements and implement changes.
- Assistance to the Director to make improvements and implement changes.
- Reporting (content and format agreed) monthly or as otherwise required.
- Achieve agreed personal targets and assist other Department Managers to achieve team targets.
- Maintain accurate records, by maintaining accurate documentation associated with your works.
- Minute all meetings.
- Coordinate office activities and operations to secure efficiency and compliance to company policies.
From time to time, you may be expected to be part of special projects as are reasonably required of your job role.
- Support budgeting procedures for projects.
- Create and update records and databases with personnel, financial and other data.
- Submit timely reports and prepare presentations/Proposals as assigned.

- Contribute towards the efficient running of Department teams and coordinate office activities and operations to secure efficiency and compliance to company policies.
- Adhere to all organisation policies and procedures.
- Interact and co-operate with all members of the organisation, it’s suppliers and clients/customers.
- Liasing with external agencies.
- Maintain accurate records, by maintaining accurate documentation associated with your works.
- Coordinate office activities and operations to secure efficiency and compliance to company policies.
- You will be very hands on.
- You have proven ability to organise and control your workload.
- Proven ability to communicate effectively with staff at all levels.
- Proven ability to work in a multi-task environment.
- Excellent Time Management Skills
You will be someone who loves to come up with different strategies, with the ability to think outside the box.
With a strong attention to detail, and demonstrated understanding of civil industry practices and standards, you will work collaboratively with our Senior Management and support functions, leading administrative tasks from inception through to completion.
