About the Role

In this role, you will coordinate and organise schedules, resources, and tasks to ensure the successful completion of restoration projects. As part of the administration team, you will be required to allocate resources effectively, communicate clearly with team members and stakeholders, solve problems that arise, and provide regular updates on progress. This role requires excellent organisational skills, attention to detail, and the ability to manage multiple tasks and priorities simultaneously.

Key Responsibilities:

Review Technicians' Reports:

  • Thoroughly review and assess technicians' reports, ensuring accuracy, completeness, and adherence to company standards.
  • Identify any missed items, discrepancies, or potential issues, and take appropriate actions to address them.

Collate and Submit Reports:

  • Collect and organise data from technicians' reports to compile comprehensive reports for various stakeholders.
  • Ensure the accuracy and timeliness of report submissions, adhering to designated deadlines.

Maintain Attention to Detail:

  • Demonstrate meticulous attention to detail when reviewing reports, invoices, and other documentation.
  • Identify errors, inconsistencies, or missing information and rectify them promptly.

Invoice Jobs:

  • Generate accurate invoices for completed jobs, ensuring all billable items and services are included.
  • Verify the completeness and correctness of invoiced amounts.

Adhere to SLAs and KPIs:

  • Prioritise and manage tasks to meet SLAs and KPIs related to report submission, invoice processing, and other assigned responsibilities.
  • Monitor performance metrics and take proactive measures to ensure targets are achieved.

Provide Updates to Stakeholders:

  • Maintain regular communication with stakeholders via phone calls and emails, including clients, internal teams, and external partners.
  • Provide timely updates on job progress, report submissions, and other relevant information.

Coordinate with Scheduler and Third-Party Trades:

  • Collaborate with the scheduler to rebook jobs or attendances based on changing requirements or resource availability.
  • Organise and coordinate third-party trades as needed, ensuring timely completion of tasks.

Utilise Online Platforms:

  • Utilise various online platforms, software, and tools to access and manage job-related information, reports, and communication channels.
  • Proactively seek out information that may have yet to be noticed or overlooked by leveraging available resources.

  • Possession of a valid Queensland driver's license.
  • Willingness to undergo a national police security check.
  • Basic proficiency in technology and application usage.
  • Experience in claims administration (advantageous).
